Job Description:
Due to the nature of the work and the customers we support, the successful candidate must be eligible to meet UK Government and contractual personnel security requirements, including the applicable residency requirements for the role, and have the right to work in the United Kingdom. Some roles may also be subject to nationality requirements where these are necessary to meet UK Government or contractual security obligation.
The PMO Analyst is a core member of the Project Management Office, responsible for providing the planning, reporting, tracking, risk management, financial administration, and governance support that enables the PMO Lead and programme leadership to manage the IT Transition programme and subsequent IT Change programmes with confidence and control.
This is not a passive administrative role. The PMO Analyst is expected to interrogate data, identify inconsistencies, flag emerging risks, and provide insight — not just information. They are the first line of defence against inaccurate reporting, missed milestones, untracked risks, and governance gaps. They must be comfortable challenging workstream leads on status accuracy, chasing overdue actions, and escalating concerns to the PMO Lead when something doesn't add up. Operating across the IT Transition and into steady-state Change programmes, the PMO Analyst must adapt to the different rhythms of each phase — the high-intensity, milestone-driven cadence of transition delivery and the rolling, pipeline-driven cadence of continuous change.

Key Responsibilities:
- Maintain the integrated programme plan, milestones, dependencies, and key programme trackers.
- Collect, validate, and analyze workstream progress, identifying schedule risks, slippage, and emerging issues.
- Produce accurate and timely programme reports, dashboards, and governance packs for senior stakeholders.
- Maintain RAID, risk, issue, action, and decision logs, ensuring actions and treatments are actively tracked.
- Support programme financial tracking, including budgets, actuals, forecasts, and variance analysis.
- Coordinate governance meetings, including agendas, papers, minutes, actions, and decision tracking.
- Maintain programme deliverable, resource, and document trackers, ensuring information is accurate and up to date.
- Support transition activities including readiness tracking, go/no-go evidence, cutover, and hypercare reporting.
- During the Change Programme phase, maintain the change pipeline, benefits, and capacity trackers, and support ongoing programme reporting.
- Identify opportunities to improve PMO processes, reporting, and tools, including automation where appropriate.
- Work collaboratively with the PMO Lead, workstream leads, programme teams, and stakeholders to ensure high-quality programme information and governance.
What you'll bring:
- Experience in a PMO Analyst, Project Support Officer, or Project Coordinator role, ideally within IT programmes or projects.
- Strong experience producing programme reports, dashboards, and governance packs.
- Proficiency with Microsoft Excel and PowerPoint, with strong data analysis and presentation skills.
- Experience using programme planning tools such as Microsoft Project, Primavera, Jira, Smartsheet, or equivalent.
- Experience maintaining RAID logs, risk and issue registers, action trackers, and programme plans.
- Experience with financial tracking, including budget vs actuals, forecasting, and variance analysis.
- Excellent attention to detail and the ability to identify inconsistencies, risks, and emerging trends.
- Strong communication and organizational skills, with the ability to manage multiple priorities and deadlines.
- Experience working in an IT service delivery or ITSM environment.

Desirable:
- PRINCE2, APM, PMP, CAPM, or P3O qualification.
- ITIL 4 Foundation.
- Experience with Power BI, ServiceNow, PPM tools, or SharePoint.
- Experience supporting IT Transition, outsourcing, or managed service programmes.
- Experience with Power Automate, VBA, PowerShell, or other automation tools.
- Experience working in regulated, government, or defence environments.

You will ensure that programme information is accurate, timely, and trusted, with effective reporting, governance, and programme controls in place. You will help the PMO identify risks early, keep actions and dependencies moving, and provide stakeholders with clear information to support effective decision-making.
