PMO Specialist

Role Overview
The PMO Specialist is the operational backbone of RELEX’s Global Project Management Office. This role owns the setup, maintenance, and lifecycle administration of customer project infrastructure across our core delivery toolchain — primarily Jira, OpenAir, and Smartsheet — enabling project managers, consultants, and delivery leaders to operate efficiently from project kick-off through to continuous service handover.
Acting as the primary support interface for delivery teams globally, the PMO Specialist resolves tooling requests, maintains data integrity across systems, and drives process improvements to reduce manual overhead at scale.
What you’ll be doing
Project & System Administration
- Set up and maintain Jira projects (organizations, access, SLAs, automations) and OpenAir projects (resources, hierarchies, hour transfers)
- Keep Smartsheet in sync with Jira and OpenAir
- Execute customer re-namings and transitions across all systems with AR and BI
Project Lifecycle Support
- Support project creation at kick-off and closure at go-live, including handover to Support
- Maintain project templates and manage partner PM access to OpenAir
- Set up ticket routing and automation for hybrid implementation/support handovers

Stakeholder Support
- First-line response in
#help-global-pmo, triaging tooling and system requests - Guide requesters on PMO scope, escalation paths, and the right forms/portals
- Collaborate with AR, BI, Support, and Partner Success on multi-system issues
Process Improvement & Automation
- Implement Jira automations to reduce manual work and contribute to the PMO automation roadmap
- Maintain process documentation and knowledge base articles as priorities evolve
What you’ll bring to the table
- 2+ years of experience in a systems administration, PMO support, project coordination, or operations role
- Strong proficiency with Jira — project configuration, service desks, automation rules, and user/organization management preferred
- Demonstrated ability to maintain data integrity across multiple systems simultaneously
- Excellent attention to detail and a methodical approach to high-volume, process-driven work
- Clear, professional written communication in English — able to guide stakeholders to the right process or resource efficiently
- Service mindset: responsive, thorough, and committed to quality across a high volume of requests
- Adaptability and comfort working in an evolving environment – able to adjust priorities, learn new systems and process quickly, and translate changing organization needs into practical ways of working
What we consider as an advantage
- Experience with OpenAir or similar PSA/time-tracking platforms
- Experience with AI tools like Claude or ChatGPT
- Familiarity with Smartsheet or comparable project tracking tools
- Experience in a global SaaS or professional services environment
- Exposure to Jira automation rules, advanced workflows, or Jira Service Management administration
- Comfort with process mapping and identifying automation opportunities in repetitive administrative workflows
