PMO Support Officer - FTC

Description

The PMO Support Officer will provide administrative, organisational, and operational support to the Project Management Office (PMO), ensuring its efficient and effective operation by maximising the use of project management tools. This role supports the delivery of projects and programmes by maintaining governance frameworks, standardising processes, and ensuring consistency across all activities. The PMO Support Officer will also contribute to team training, advocate for the value of the PMO.

Key Responsibilities

Administrative and Operational Support

  • Maintain and update PMO documentation, ensuring templates, reports, and plans are current, standardised, and accessible.
  • Assist in adopting and maintaining an efficient file management system, ensuring files are logically structured and easy to retrieve.
  • Organise PMO meetings, including scheduling, preparing agendas, and recording accurate and timely minutes.
  • Support the collation of data for project and programme status reports, ensuring timely and accurate communication to stakeholders.
  • Update and maintain project dashboards, ensuring key information—such as risks, issues, and milestones—is effectively communicated.
  • Assist with tracking timesheets, holidays, and resource availability, ensuring the team has clear visibility.

Risk and Issue Support

  • Maintain and update RAID (Risks, Assumptions, Issues, and Dependencies) logs, ensuring completeness and prompt action.
  • Assist in drafting and maintaining risk profiles, aligning them with organisational standards and supporting decision-making processes.

Quality Assurance

  • Support regular audits of projects and programmes to ensure compliance with PMO governance standards, identifying areas for improvement.
  • Assist in refining and standardising templates, processes, and tools to ensure consistent usage and clarity across the organisation.

Budget and Planning Support

  • Provide support in tracking and recording project and programme budgets to ensure financial alignment.
  • Assist in maintaining and updating project plans, including resourcing, milestones, and financial data.

Training and Advocacy

  • Collaborate on the preparation of training materials, including "how-to" guides for PMO processes and tools, and support training sessions for the team.
  • Promote the value and benefits of the PMO by showcasing the importance of governance, standardisation, and effective planning.

Continuous Improvement

  • Development and improvement of new and established PMO documentation.
  • Collect and act on feedback regarding processes and tools, supporting the PMO Lead in implementing efficiency improvements.
  • Contribute to sharing lessons learned and embedding best practices to foster a culture of continuous improvement.

Compliance and Governance

  • Assist in reviewing and maintaining ISO27001 documentation, ensuring compliance and preparing for future audits.
  • Support the management of change control processes, ensuring all changes are appropriately logged and escalated when necessary.

Skills, Knowledge and Expertise

Essential

  • Degree in Project Management, Business, or related discipline, or equivalent professional experience.
  • Experience providing administrative and operational support in a project or programme environment.
  • Strong skills in documentation management, file organisation, and meeting coordination.
  • Ability to maintain project dashboards, RAID logs, and support risk/issue management processes.
  • Proficiency in monitoring and reporting on project and programme status.
  • Strong organisational skills with the ability to track budgets, plans, and resource allocation.
  • Excellent communication skills with the ability to liaise effectively across teams.
  • Proficient in Microsoft Office, Intermediate/Advanced Excel, project management tools, Power BI would be advantageous.
  • Detail-oriented, proactive, and well-organised.
  • Collaborative, adaptable, and able to support cross-functional teams.
  • Customer- and quality-focused, with a commitment to governance and consistency.
  • Willingness to learn and contribute to continuous improvement.

Desirable

  • Familiarity with ISO27001 documentation and compliance.
  • Experience supporting audits, compliance reviews, and MEIL reporting.
  • Knowledge of budget tracking and financial administration for projects/programmes.
  • Background and/or interest in Cyber Security.
