Policy & Governance Administrator (12 month FTC)
FirstBank UK is a globally recognised, top-tier bank who provide world-class services to various institutions and individuals. Offering a comprehensive range of retail and corporate financial services/products, this thriving business with over 10 million active customers in over 700 business locations is the oldest African bank in the UK. Due to business requirements & growth, we are now looking to acquire the services of an experienced Policy & Governance Administrator to support the office of the Company Secretary.
Please note that this is a 12 month fixed-term-contract. Please note that this is a hybrid role with 3 days in the office and 2 days working from home
Key Responsibilities:
Policy Governance
- Maintain the Bank's Policy Governance Framework, including governance standards, policy lifecycle requirements, and review schedules.
- Coordinate the periodic review and refresh of policies in accordance with the approved review cycle.
- Maintain and administer the Bank's Policy Hub, ensuring the accuracy, completeness, version control, and publication of policy records.
- Manage the end-to-end governance process for policy submissions.
- Liaise with relevant stakeholders to ensure policy documents are appropriately mapped to the Bank's Risk Taxonomy and Risk Appetite Framework.
- Produce management information and reporting relating to policy governance, policy reviews, approvals, and compliance with governance standards.

Governance and Company Secretariat Support
- Assist in the preparation, collation, and distribution of Board, Committee, and Management Committee meeting packs.
- Support the drafting and maintenance of governance documentation, registers, records, and actions.
- Support the taking and drafting of meeting minutes where required.
- Maintain governance records and ensure appropriate filing and retention in accordance with internal requirements.
- Coordinate responses to internal and external audit requests relating to governance documentation.
Administration and Stakeholder Management
- Liaise with internal stakeholders to support governance processes and approvals.
- Support the Office of the Company Secretary with day-to-day administrative activities.
- Undertake ad hoc governance and administrative tasks as required.
KYC Administration
- Maintain an accurate and up-to-date repository of KYC and corporate documentation.
- Support KYC and due diligence activities relating to directors, shareholders, counterparties, and other stakeholders as required.
Key Skills/Experience:
- Strong, proven experience within Financial Services is essential.
- A degree within the Legal sector is preferred.
- Previous experience working in a similar Policy Administration role.
- Strong analytical skills with proficiency in report writing.
- Previous experience working within risk, legal or compliance environments would be advantageous.
- Strong understanding of regulatory governance and document control requirements.
- Experience supporting policy governance, company secretariat and governance activities.
- Experience with governance platforms (e.g BoardEffect).
- Excellent attention to detail.
