About VetPartners
Working in collaboration with our practices, we care for people, their pets, and our profession. Established in November 2015, our group includes small animal, equine and farm animal practices. We have c.8000 employees working in almost 500 sites across the UK, and more practices in further European countries, supported by our Central Support office in York, and collaborating to provide excellent service.
About the Role
As a Portfolio Coordinator, you'll play an important part in helping us deliver projects that make a real difference to our practices and the people within them. You’ll be working across a busy and varied portfolio of projects, supporting Project Managers and working with colleagues across IT and the wider business.
You’ll help keep projects organised, plans and information up to date, actions on track and the right people involved. There can be a lot happening at once and priorities will sometimes change. You won’t always have a set process to follow or all the information you need from the start, so you’ll need to be comfortable asking questions, working things out and using your judgement about what to do next.
You’ll need to be organised and have a really good eye for detail. You’ll notice when something is missing, doesn’t quite add up or hasn’t been followed through. You’ll be comfortable keeping track of several things at once, following up with people and making sure agreed actions are completed. Just as importantly, you’ll need to enjoy working with people, building good relationships and making sure the right people have the information they need.

We’re a small team, so you’ll have the opportunity to get involved in lots of different areas, contribute your ideas and help us improve how we work. It’s a great role for someone who already has some project experience and wants to continue developing their career in projects and change.
Key Responsibilities
- Support the planning, coordination and delivery of projects
- Maintain project plans, trackers, RAID logs, and project updates, ensuring information is always current and accessible
- Coordinate meetings, workshops and working groups - preparing agendas, capturing actions and following up to make sure they are completed
- Act as a central point of contact for project communications, keeping colleagues across practices and the central team informed and connected
- Help manage project timelines, flagging risks and dependencies so the team can respond in good time
- Produce clear, concise project updates and briefing materials for senior colleagues
- Support the onboarding and change management elements of projects that affect our practice teams
- Contribute to continuous improvement - spotting what's working, what isn't, and helping us do things better next time
Skills & Experience
We’re looking for someone with some experience of working in project coordination, project support or a similar role, who understands what it takes to keep projects organised and on track.
- Previous experience in project coordination, project support or a similar role
- Excellent organisational skills with the ability to manage several pieces of work and competing priorities at the same time
- A keen eye for detail and a high level of accuracy
- Confident using your own initiative and taking ownership of tasks through to completion
- Able to adapt to changing priorities and work effectively when requirements are not always clearly defined
- Clear and confident written and verbal communication skills with the ability to adapt your style for different audiences
- Able to build good working relationships and work collaboratively with others
- Good judgement, including knowing when to seek input, support or direction
- Comfortable using project management tools. Experience with Asana or a similar platform would be an advantage
- Good working knowledge of Microsoft Office, particularly Excel and PowerPoint
- A positive, practical and can-do approach with a willingness to learn and develop
- Experience working in a multi-site, healthcare, or another busy environment would be desirable
