About the Role

This role sits within Tesco's PPMO (Project Portfolio Management Office), which operates across Finance Change and Enabling Functions Technology portfolios. The role is within the Data, Reporting, Quality Assurance and Tooling Hub and will be managed on a day to day basis by the Hub Lead.

You will be responsible for

The Portfolio Management Tooling Manager is responsible for the strategic ownership, development and continuous improvement of Tesco's PPM Tooling Landscape. Acting as the primary product owner, the role will ensure current strategic tooling continues to evolve in line with business needs, delivering value to sponsors, end users and the wider PPMO community through effective roadmap management, stakeholder engagement, platform enhancements and adoption initiatives.

Key areas of responsibility include

  • Own and maintain the Portfolio Tooling product vision, strategy and roadmap, ensuring alignment to PPMO priorities and business objectives.
  • Act as the Product Owner for Planview, managing and prioritising the platform backlog based on business value, risk, user feedback and strategic requirements.
  • Engage with sponsors, stakeholders and end users to capture requirements, understand pain points and identify opportunities for platform improvements.
  • Translate business requirements into clear user stories, functional requirements and acceptance criteria for development and configuration activities.
  • Lead the planning, prioritisation and coordination of releases, ensuring changes are effectively tested, validated and deployed.
  • Develop, configure and implement enhancements, new features and process improvements to meet evolving business needs.
  • Own and manage tooling administration activities including user access, licence management, permissions, security roles and system configuration.
  • Drive continuous improvement initiatives to maximise platform value, improve user experience and increase operational efficiency across the portfolios.
  • Lead the testing and validation of new functionality, ensuring solutions meet agreed requirements and acceptance criteria before release.
  • Maintain ownership of Project Boards and associated ways of working, ensuring they support effective portfolio, programme and project delivery.
  • Ensure high levels of data integrity, data quality and governance across the platform through proactive monitoring, controls and user engagement.
  • Support reporting, dashboard and KPI requirements, ensuring data can effectively support portfolio management, governance and decision making processes.
  • Collaborate with reporting, finance, resource management and governance teams to improve data usage, automation and business insight capabilities.
  • Act as the primary point of contact for tooling support queries, managing triage, prioritisation and resolution activities across the user community.
  • Develop and deliver user training, demonstrations and educational materials to improve adoption, capability and platform maturity.
  • Build and maintain a strong user community, encouraging feedback, collaboration and knowledge sharing across the organisation.
  • Develop a community of practice, liaising with external Planview customers to create a network group.
  • Work closely with third party suppliers and representatives to manage support requests, influence product direction and remain informed of upcoming functionality and roadmap developments.
  • Define and manage integration requirements between Portfolio Tooling and connected business systems, working with technical teams and vendors to deliver effective solutions.
  • Lead root cause analysis for system issues, identifying improvements that improve platform stability, usability and performance.
  • Maintain platform documentation including configuration, operational processes, training materials and administration guides.
  • Provide regular updates to business sponsors, stakeholders and the PPMO Hub leads on roadmap progress, backlog delivery, metrics, risks and opportunities.
  • Ensure all enhancements and platform changes align with governance, change management and release management processes.
  • Support the development of success measures and performance indicators that demonstrate the value, adoption and effectiveness of the Planview platform.

You will need

Required knowledge, skills and experience

  • Proven experience as a Product Owner, Product Manager, System Manager or similar role supporting enterprise business applications.
  • Strong experience administering, configuring and enhancing Planview or similar PPM, portfolio management or enterprise platforms.
  • Experience managing product roadmaps, backlogs, prioritisation activities and stakeholder requirements.
  • Strong understanding of project management principles, user story development, backlog management and acceptance criteria definition.
  • Experience leading releases, testing, user acceptance testing and change implementation.
  • Knowledge of portfolio management, programme management, project management and PMO operating models.
  • Experience managing user access, role based permissions and governance controls.
  • Demonstrable experience driving platform adoption, training, communication and stakeholder engagement activities.
  • Strong analytical and problem solving skills with the ability to translate business challenges into effective technology solutions.
  • Experience working with third-party suppliers and support teams to deliver platform improvements and resolve issues.
  • Understanding of system integrations, data flows and business process automation concepts.
  • Experience supporting reporting, KPI development, dashboards and management information requirements.
  • Strong focus on data quality, governance and continuous improvement principles.
  • Excellent communication and presentation skills with the ability to influence stakeholders at all organisational levels.
  • Proven ability to manage competing priorities and balance strategic planning with operational delivery responsibilities.
  • Ability to communicate technical concepts clearly to non technical audiences and senior stakeholders.
