Portfolio Manager

We are looking for an experienced Portfolio Manager to join us, working in a two-year fixed term contract.

The role in a nutshell

A multi-disciplined role consisting of:

  • Leadership, governance and oversight of the TFS UK Change Portfolio (Business and BTS)
  • Ownership of enterprise-wide change governance, standards and reporting
  • Line Management of the UK (BAU) Project Managers and Business Analyst
  • Ownership and continuous improvement of the Portfolio Management Framework
  • Management of the Portfolio Management Office (PMO)
  • Follow TFS Europe (EAR) change governance, reporting and portfolio management requirements as applicable to TFSUK
  • Delivery of selected Project Management and Business Analysis activities where appropriate

About the ‘Department’

Business Technology Solutions (BTS) department are responsible for delivering end-to-end business technology and change through their four key functions of Governance, Projects & Change, Delivery and Technical Operations. They look after both TFS UK and Kinto UK. The mission of BTS is to support the business through Give, Guide and Guard.

What you’ll be doing

Portfolio Management

  • Own and govern the enterprise-wide TFS UK Change Portfolio including business-led and technology-led initiatives
  • Act as the single point of portfolio visibility across TFS UK
  • Ensure all change initiatives are prioritised, governed and delivered in accordance with the approved portfolio frameworks, portfolio strategy aligned to TFS UK Hoshin and delivery plans
  • Provide portfolio reporting to TFS UK and TFS Europe (EAR) stakeholders
  • Ensure the portfolio is appropriately tracked, maintained and governed within approved portfolio management tooling
  • Monitor interdependencies, finance plans, benefits, risks and resource demand across all change initiatives
  • Escalate portfolio-level risks, delivery issues and governance breaches
  • Own/maintain/improve the framework processes and procedures (where appropriate), encouraging a work culture of continuous improvement

Portfolio Management Office (PMO)

  • Ensure PMO processes support enterprise-wide reporting and governance requirements
  • Develop and maintain executive dashboards and portfolio reporting for TFS UK and EAR stakeholders
  • Ensure quality and completeness of portfolio information within the approved tooling
  • Financial, Benefit, Resource, Risk/Issue & Stakeholder Management across the Portfolio

Project Management/Business Analysis

  • Manage a number of change initiatives simultaneously (mixture of Business, Application, Infrastructure and Business Projects)
  • Manages change initiatives from initiation through to operational/service transition
  • Adhere to the frameworks & reporting
  • Maintain ownership of the Project Management and Business Analysis practice, standards, methodologies and performance
  • Work with Team Leaders (where applicable) to develop capability roadmaps, training plans and succession planning
  • Ensure Project Management/Business Analysis resources are deployed effectively across the TFS UK change portfolio
  • Promote consistency of project management, analysis standards, tools and documentation
  • Support continuous improvement of Project Management/Business Analysis practices across TFS UK

Project/Change Governance

  • Ensure all change initiatives are delivered in accordance with the approved change framework and business change lifecycle at an individual level
  • Ensure change initiatives are appropriately tracked, maintained and governed within approved change management tooling

Line Management

  • Lead, manage and motivate the Project Managers and Business Analysts
  • Perform 1-2-1s, team meetings and appraisals.
  • Planning and allocation of workload across resources
  • Managing and monitoring individual and team delivery performance
  • Represent the Change function at IT Management level and above

TFS Europe (EAR) Alignment

  • Act as the primary TFS UK liaison for portfolio management reporting to TFS Europe (EAR)

Key Experience & Skills

  • Ability to establish and guide a Project Management Office
  • Proven ability in delivering Application Projects, Infrastructure Projects and managing multiple projects simultaneously
  • Experience in multiple Project Management disciplines
  • Experience in Business Analysis
  • IT Financial Management
  • Resource Management and Allocation
  • Vendor Negotiations and Management
  • Used to working within a small, busy Projects/Change function within a small/medium sized organisation
  • Business Stakeholder Management
  • Enterprise Portfolio Management experience
  • Experience managing both Business and Technology change portfolios
  • Strong understanding of Project and Portfolio Management methodologies
  • Experience implementing and governing PPM toolsets
  • Executive stakeholder management and reporting
  • Experience operating within matrix management environments
  • Proven people leadership including development of managers and team leads
  • Experience establishing governance frameworks and assurance processes
  • Financial portfolio planning and benefits management
  • Strong understanding of change management and organisational transformation
