About The Role
We're looking for a reliable and organised individual to join our team as a Post Room Assistant. This is a great opportunity for someone who enjoys working in a busy environment and takes pride in delivering an efficient and professional service.
You will provide an incoming postal service on behalf of the Council. Administer the Authority's electronic document management system in accordance with legislation & guidelines. Be responsible for daily scanning, indexing, and electronic transfer of documents for the Council and external partners.
This role is exempt from the Rehabilitation of Offenders Act 1974 and therefore subject to an enhanced DBS certificate. What will you be doing?
- Work as part of the Post Room Team to undertake duties such as post opening, sorting, and electronic delivery.
- Maintain the Authority's electronic filing system accurately while adhering to Data Protection legislation.
- Scan incoming correspondence and attach their digital images to existing records or creating new accounts as appropriate on the Civica EDRMS.
- Adhere to all security protocols within Authority buildings and grounds.
- Undertake any other duties commensurate with the position as designated by the line manager.
About You
- Good standard of education, including GCSE English (or equivalent).
- Strong verbal and written communication skills.
- Previous experience within a post room environment and experience using electronic document management systems would be advantageous.
- Understanding of health and safety requirements.
- Experience of manual handling.
- Confidence using Microsoft Office applications, including Outlook, Word, and Excel.
- Team player with a practical, flexible approach to work, capable of meeting deadlines and maintaining high standards.
- Ability to lift and move items weighing up to 11kg.
- Commitment to providing a trustworthy, reliable, and customer-focused service.
