IMAC Architecture is a design-led Chartered Practice that balances creative architectural solutions with strong practical construction expertise. Led by Chris McIvor, a Chartered Architectural Technologist, Chartered Construction Manager, and Certified Passivhaus Consultant, the firm focuses on homes designed as integrated, efficient, and comfortable living spaces. Projects are approached holistically, considering layout, natural light, materials, energy performance and the relationship to outdoor spaces. Clients work directly with the practice throughout each project, receiving tailored support based on their specific needs and appointed services.
Role Description
Practice & Client Coordinator – Part-Time
Based in Omagh
IMAC Architecture is looking for a highly organised, dependable and personable Practice & Client Coordinator to support the day-to-day running of our growing design practice.
This is a part-time role suited to someone who enjoys keeping things organised, communicating with clients, managing information accurately and making sure the right actions happen at the right time.

The role will support client coordination, CRM management, project administration, invoicing and general practice organisation, helping the business run more smoothly and allowing the Managing Director to focus on design, clients and growth.
Key responsibilities will include:
- Managing and updating Zoho CRM
- Coordinating enquiries and appointments
- Supporting client communications
- Maintaining project records and task lists
- Assisting with invoicing and purchase orders
- Arranging meetings
- Following up outstanding information
- Maintaining templates and standard documents
- Supporting client feedback and referral follow-ups
- Assisting with general office and practice administration
We are looking for someone who is:

- Comfortable using software and digital systems
- Accurate and detail-focused
- Proactive and able to work independently
- Comfortable following up actions and chasing information where needed
- Friendly, professional and straightforward in their communication

Experience in architecture is not essential. Experience in a professional services, construction, property, legal, accountancy or consultancy environment would be useful. Training will be provided on our systems and processes.
Role details
Part-time, approximately 25 hours per week
Monday to Friday
9.30am – 3.00pm
30-minute break
£15.00–£16.00 per hour depending on experience

The role will initially focus on practice administration and client coordination, with scope to develop over time into a broader Practice Manager position as IMAC Architecture continues to grow.
