Practice Manager

Salary: £40,000 per annum

Reports to: Principal Solicitor

Purpose of the Role

To oversee the efficient day-to-day management of Brown & Co Solicitors, supporting the Principal Solicitor in financial administration, regulatory compliance, staff management, business development and the delivery of excellent client service.

Key Responsibilities

Practice Management

  • Manage the daily operation of the practice.
  • Develop and maintain effective office systems, policies and procedures.
  • Prepare operational and management reports.
  • Oversee office facilities, IT, suppliers and administrative support.

Financial Administration

  • Maintain office and client account ledgers.
  • Liaise with the firm's bookkeeper and SRA Reporting Accountant.
  • Assist with billing, credit control, reconciliations and financial reporting.
  • Support budgeting, cash flow monitoring and financial planning.

Compliance

  • Support the COLP and COFA in ensuring compliance with the SRA Standards and Regulations and SRA Accounts Rules.
  • Maintain compliance registers and records.
  • Assist with file reviews, audits and regulatory inspections.
  • Monitor AML, GDPR and risk management procedures.
  • Ensure regulatory deadlines are met and report compliance issues where appropriate.
  • Act as key contact with bookkeeper and SRA Accountants

Human Resources

  • Supervise administrative staff.
  • Coordinate recruitment, induction and probation.
  • Maintain HR records and annual leave records.
  • Arrange staff training and assist with performance management.

Volunteers and Work Experience

  • Recruit, coordinate and supervise volunteers and work experience students.
  • Liaise with schools, colleges and universities.
  • Coordinate induction, training and feedback.
  • Oversee recruitment of solicitors and paralegals
  • Liaise with staff and payroll to ensure staff paid according to employment/consultancy contract

Business Development

  • Assist with business planning and implementation of strategic objectives.
  • Coordinate advertising, marketing and social media activity.
  • Support networking and community engagement.
  • Assist with developing new business opportunities.

General

  • Maintain the highest standards of professionalism and confidentiality.
  • Undertake any other duties reasonably required by the Principal Solicitor.

Essential Requirements

  • Previous experience in legal practice management or a similar professional services environment.
  • Strong financial administration and organisational skills.
  • Experience maintaining ledgers and liaising with bookkeepers and accountants.
  • Experience supporting COLP and COFA compliance functions.
  • Excellent leadership, communication and IT skills.
  • Experience supervising staff, volunteers and work experience students.
  • Ability to work independently, prioritise effectively and support strategic growth.
  • Commitment to high standards of professionalism and client care.
