Job Purpose
To be responsible for supporting the Office activities in London, Head Office, overseeing Northern Europe in all secretarial matters, ensuring they are run smoothly and efficiently.
This is a Fixed-Term Contract position commencing on 1st September and ending on 14th February 2027.
Responsibilities
- Booking of travel tickets & accommodation, updating travel-related reports.
- Provide secretarial and administrative support to the offices.
- Maintain the Offices’ archives updated and in order, with specific regard to those of the Legal department.
- Ordering of stationery, pantry supplies & office supplies.
- Coordinate printing of office stationery and name cards.
- Assist in sending & receiving mail and couriers.
- Maintaining and updating the shoplist, telephone and fax numbers in frequent usage by staff.
- Answer the phone, take messages or refer calls to appropriate staff member.
- Ensure that all Company communications are handled properly and in compliance with Group standards.
- Review outgoing correspondence for correctness and completeness, ensuring that appropriate material is attached. Prepare communications, memos or other reports for internal or external distribution.
- Assist in other ad hoc duties or office admin projects when needed.

Knowledge and Skills
- At least 5 years of working experience
- Relevant experience in secretarial/executive & personal assistant fields
- Good communication skills and strong ability to multitask
- Fluent spoken English expected; other languages desirable (Italian)
- Perfect mastery of all Office programs
