Job Purpose
To support the PR team in the management of sample trafficking according to the instructions received and the company’s rules to ensure that deadlines for the deliveries are met, that all sent-outs and received samples are correctly uploaded into SAP and that the stock room is maintained in perfect order and secure. To manage the stock inventory to ensure this is in target.
Responsibilities
- Receive new samples and label/barcode, unpacking and checking them against the DDT/paperwork, uploading into SAP and creating the purchase order.
- Receive deliveries from other subsidiaries, unpacking and checking them against the DDT/paperwork, uploading into SAP and creating the purchase order.
- Receive deliveries from press shoots, unpacking and checking them against the DDT/paperwork, uploading into SAP closing the consignment transaction.
- Place the deliveries in the stockroom and show room according to the classification criteria settled and the show room image standards.
- Following instructions from the Press team, prepare the send outs with the support of the PR Assistant, who will verify the selected items, prepare the tracking file and uploading the delivery into SAP, creating the consignment transaction.
- Following instructions from the Press team, prepare daily international returns, upload the delivery into SAP, creating the sales transaction.
- Book and manage the courier to inform the delivery is ready, assuring that it is received in time.
- Manage the regular cycle count SAP/stock take, verifying eventual discrepancies with the support of Finance.
- Ensure that the stock room is always organized and that everything is filed accordingly with Group standard, guaranteeing also the security of products and valuables of the inventory.
- Manage the end of season sample return to the HQs, uploading the send-outs into SAP and create the related sales order.
- Following instructions from the Celebrity Relations Manager, manage the celebrity samples trafficking, uploading into SAP the samples received, create the specific transaction and manage their discharging on a monthly basis as gifts.

Knowledge and Skills
- Strong experience in inventory management, stock control, and stock reconciliation, with excellent attention to detail and accuracy.
- Proficiency in SAP or similar ERP systems, including goods receipt processing, stock movements, purchase orders, and inventory transactions.
- Knowledge of sample trafficking, logistics, and courier management, including international shipments and returns.
- Excellent organisation and planning skills, with the ability to manage multiple priorities and work to tight deadlines.
- Strong communication and teamwork skills, with the ability to collaborate effectively across PR, Logistics, and international stakeholders.
