This is a fixed term contract for 12 months.

The Role:

Are you an operational planner with creative flair ready to elevate world-class VIP hospitality trackside? We are looking for a Premium Experience Coordinator to join Formula E and help deliver best-in-class guest experiences across select global races.

In this fast-paced role, you will balance administrative precision with hands-on event execution, managing client communications, key tracking platforms and supplier logistics to ensure flawless race-weekend operations.

  • Deliver World-Class Trackside Hospitality: You support the Premium Experience Manager in planning and executing trackside operations across select race markets, helping conceive and develop elevated, immersive hospitality spaces aligned with local culture and global brand standards.
  • Manage Assets & Brand Consistency: You develop, refine and maintain high-impact digital and sales collateral, including brochures, flyers and briefing documents, while taking ownership of event hospitality branding requirements from initial brief through production.
  • Drive Systems & Customer Fulfilment: You manage key client management tools, software platforms and data trackers to ensure smooth ticket fulfilment, payment processing, ticket distribution and real-time inventory tracking.
  • Lead On-Site Logistics & Operations: You coordinate guest arrival flows, accreditation, access control and supplier deliverables on race weekends, acting as a direct liaison for partners, sponsors and VIP guests to deliver flawless event days.
  • Maintain Operational & Financial Precision: You assist with purchase order generation, budget tracking, build schedules, deployment plans and internal communication workflows to keep every project running on time and within scope.

What we're looking for in you:

  • The Live Events & Hospitality Specialist: You bring hands-on experience in the live events industry, ideally supported by a background in premium hospitality, customer service, or high-touch client management.
  • The Tech-Savvy Administrator: You possess exceptional organisational skills, strong IT literacy and an ability to quickly master new event management tools, CRM databases and tracking platforms.
  • The Proactive Problem Solver: You are a detail-oriented, accountable go-getter who remains calm under pressure, asks the right questions and solves complex operational challenges on tight timelines.
  • The Global Collaborator: You are an articulate communicator who builds genuine relationships with internal stakeholders, external vendors and VIP clients while demonstrating a willingness to travel internationally to race locations.

This is a hybrid role and you'll be required to do 3 days a week in our Hammersmith London office.
