Job Purpose

To support the Private Client team in progressing Wills, Trusts and Probate matters accurately and efficiently, while delivering a professional, responsive and high-quality service to clients. The Paralegal will assist solicitors and other fee earners from initial instruction through to conclusion and file closure, provide an appropriate element of chargeable legal support, and ensure full compliance with the firm's policies, procedures and regulatory obligations.

The role is based in Kendal, with flexibility to work across other Thomson Hayton Winkley offices where client or team needs require it. The postholder will act as an ambassador for the firm and actively promote its services.

Key Responsibilities

Casework and Matter Support

  • Assist fee earners in managing a varied Wills, Trusts and Probate caseload, working with an appropriate level of supervision.
  • Draft and prepare routine legal documents for fee earner approval, including draft Wills, Lasting Powers of Attorney, Probate applications, correspondence and relevant letters of advice.
  • Carry out legal research, draft letters and supporting documentation, and liaise with clients, beneficiaries, professional advisers and other third parties.
  • Attend client meetings where required and assist with the preparation and completion of relevant documentation.
  • Progress matters efficiently, monitor key actions and deadlines, and complete follow-up work through to conclusion and file closure.
  • Undertake appropriate chargeable legal work and record time accurately and promptly in line with departmental expectations.

  • Provide clear, professional and empathetic support to clients, recognising that matters may involve sensitive personal circumstances.
  • Act as a point of contact for routine client enquiries, providing updates and ensuring communications are dealt with promptly.
  • Assist with new client onboarding, including identification checks, client due diligence and client care documentation.
  • Deliver a consistently high standard of client care and help maintain positive relationships with clients and professional contacts.

File Management, Compliance and Risk

  • Maintain accurate and up-to-date case management records so that documents and information can be located and used efficiently.
  • Organise matter files and support the team with file reviews, document management, closures and archiving.
  • Comply fully with firm policies and procedures and all relevant regulatory requirements, including those relating to anti-money laundering, client due diligence, data protection and confidentiality.
  • Contribute to the effective management of risk through careful file management, regular matter reviews and excellent client care.
  • Keep knowledge of relevant law, regulation and practice up to date and take an active approach to learning and professional development.
  • Work collaboratively with the wider department, solicitors, other fee earners and support colleagues, and undertake other duties appropriate to the role as reasonably required.

Person Specification

Knowledge and Experience

  • Previous paralegal, legal assistant or fee earning support experience within Wills, Trusts and Probate is preferred.
  • Experience of working towards time recording or chargeable hours targets is desirable.
  • Experience of case management systems and digital working practices.
  • Confident use of Microsoft Office and an ability to learn relevant legal systems and portals.
