A rare opportunity has arisen to join a private family office supporting a successful high-net-worth family with extensive business, property and private interests. This newly created role will provide proactive administrative and coordination support to the Finance Director across the family office, property portfolio, working estate and family matters.

We are looking for an exceptionally organised, discreet and proactive individual who enjoys taking ownership, managing multiple priorities and ensuring matters are followed through to completion.

Key Responsibilities

  • Property Portfolio: Coordinate the day-to-day administration of a diverse property portfolio, including sales, lettings, renewals, tenancy matters, maintenance, compliance and property records. Liaise with agents, tenants, contractors and legal advisers to ensure issues are resolved promptly and standards remain high.
  • Estate & Property Management: Coordinate maintenance, compliance, utilities and improvement works across the estate and private properties. Manage contractors and suppliers, monitor progress and maintain accurate records, including supporting planning-related administration where required.
  • Family Office & Personal Administration: Provide correspondence and diary support to the Finance Director, coordinate insurance renewals and vehicle administration, and assist with HR, events, visitors, document management, expenses and ad hoc research.
  • Financial Administration: Support with invoices, payments, tenant billing, financial records and quarterly reporting, ensuring information is accurate, well documented and followed up. Identify and escalate any discrepancies or matters requiring further financial, commercial or legal input.
  • General Coordination: Act as a proactive point of contact across a wide range of internal and external stakeholders, keeping actions on track and ensuring the Finance Director is kept informed of key issues and deadlines.

About You

We are looking for someone who is highly organised, discreet and naturally proactive, with excellent attention to detail and the ability to work independently. You will be comfortable handling confidential family, financial and legal information and have the judgement to know what can be dealt with directly and what needs to be escalated.

You should have:

  • Excellent organisational and administrative skills.
  • Strong written and verbal communication skills.
  • Confidence dealing with professional advisers, agents, contractors and other third parties.
  • Strong Microsoft Outlook, Word and Excel skills.
  • A proactive, practical and solutions-focused approach.
  • The ability to manage multiple priorities and deadlines.
  • A high level of discretion, integrity and attention to detail.

Previous experience within a family office, private estate, PA/EA or property environment would be advantageous, as would familiarity with planning, insurance, contractors or professional advisers.
