We are seeking a mature, highly reliable and discreet Private PA / Household Manager / Office Manager to support the smooth functioning of a Mayfair office and London-based residence.

This is a high-trust, ownership-driven position requiring strong judgement, initiative and the ability to operate independently. The successful candidate will act as a central coordination point across the office and residence, overseeing administration, vendors, reporting, employee support and day-to-day operational requirements.

The role combines office management, personal assistance, property coordination and HR support, making it ideal for someone who enjoys taking ownership and ensuring that everything runs smoothly behind the scenes.

Key Details

  • Location: Mayfair Office & Regent's Park Residence, London
  • Schedule: Full-time, Monday to Friday
  • Hours: 9:00am–6:00pm, with flexibility required when necessary
  • Salary: £60k–£65k, dependent upon experience
  • Start Date: ASAP
  • Right to Work: Required
  • Driving: Clean UK driving licence required

The Role

The successful candidate will take ownership of a varied range of office, household and administrative responsibilities, ensuring that both the Mayfair office and London residence remain organised, functional and well maintained.

Property & Residence

  • Provide periodic oversight of the residence to ensure it remains well maintained and prepared.
  • Coordinate maintenance, repairs and servicing with vendors and building management.
  • Conduct basic checks across property systems, fixtures and general condition.
  • Manage utilities, invoices and related household expenses.
  • Coordinate suppliers and contractors as required.
  • Ensure household and property supplies are appropriately stocked.
  • Ensure the residence is prepared ahead of visits or other requirements.

Personal Assistance

  • Provide diary and scheduling support as required.
  • Manage bookings, appointments, errands and ad-hoc requests.
  • Assist with travel and local arrangements where required.
  • Manage expenses, invoices and reconciliations.
  • Respond proactively to day-to-day requests and ensure follow-ups are completed.

Office Management & Administration

  • Ensure the office remains organised, functional and presentable.
  • Coordinate IT, office supplies, vendors, post and couriers.
  • Support meetings, events and internal functions.
  • Maintain office asset inventories and records.
  • Assist with basic compliance and operational requirements.
  • Maintain accurate trackers, documentation and administrative records.
  • Coordinate suppliers and ensure outstanding matters are followed through to completion.

HR & Coordination

  • Act as a first point of contact for basic employee queries.
  • Support onboarding and employee engagement activities.
  • Liaise with HR teams across different geographies.
  • Assist with training coordination and internal communications.
  • Prepare basic reports, trackers and presentations.
  • Provide general administrative support to ensure smooth day-to-day operations.

About You

We are looking for a highly organised, discreet and dependable professional who is comfortable operating in a high-trust environment and taking ownership of a broad range of responsibilities.

You will ideally have:

  • A minimum of 5 years' experience in office administration, office management, PA/EA or a similar coordination role.
  • Previous experience supporting senior stakeholders or principals.
  • Strong organisational skills with excellent attention to detail.
  • The ability to independently manage vendors, suppliers and operational requirements.
  • Excellent written and verbal communication skills.
  • Strong proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Confidence working with basic reporting, data and administrative trackers.
  • Strong judgement and the ability to work independently with minimal supervision.
  • Experience working within a high-trust environment, ideally supporting an HNW individual, family or family office.
  • Exceptional discretion and the ability to handle confidential information appropriately.
  • A clean UK driving licence and willingness to travel locally when required.
  • Right to work in the UK.
  • Flexibility outside standard working hours when required.
  • Professional references.
