Job Summary
The postholder is responsible for the effective day-to-day running of one Director’s office, operating with autonomy and judgement within agreed ways of working set by the Head of Office.
They will report to the relevant Head of Office (SEO or G7) and work as part of a wider private office function, helping to deliver consistent support, agreed ways of working and shared service standards.
Job Description
Key Responsibilities
- Coordinate and commission briefings, advice and information for the Director, ensuring quality, clarity and timely delivery, and quality-assure submissions, briefings, correspondence and presentations in line with their preferences.
- Maintain oversight of the Director’s priorities, commissions, inbox and follow-up actions, ensuring business is well organised, deadlines are met and emerging issues are surfaced promptly.
- Support the implementation of office-wide systems and ways of working set by the Head of Office, providing feedback on what is working well and where improvements are needed.
- Manage meetings and follow-up, including agendas, notes, action tracking and read-outs. Build strong working relationships across the Directorate, private offices, the wider Department and external stakeholders, representing the Director professionally in routine engagement.
- Coordinate the Director’s internal communications, including agendas for regular meetings, drafting routine updates for review, issuing responses on their behalf to straightforward enquiries, and overseeing relevant group email lists to support effective communications across the directorate.
- Support routine directorate coordination for the Director’s office, including forward looks, returns and other agreed business management tasks, including coordinating Director’s administration of corporate schemes such as the Exceptional Performance Scheme, working closely with EO diary managers and other support staff to ensure diary pressures, briefing deadlines, actions and key meetings are managed coherently.
- Provide an evolving service in response to principal’s and business needs.
Person specification
- Strong IT skills, including confidence using Microsoft Office applications
- Strong organisational skills, with the ability to manage multiple workstreams and competing priorities.
- Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely.
- Sound judgement and confidence to act independently, including knowing when to escalate issues.
- Ability to build effective relationships and work collaboratively with a wide range of stakeholders.
- Resilience and flexibility, responding positively to changing priorities and pressure.
- Discretion when handling sensitive information.
- Experience of coordinating senior business and handling sensitive material in a fast-paced environment.

Stage 2: Interview

Sift and Interview Dates
Sifting is envisaged to take place the week commencing 17/08.
Interviews are envisaged to take place the week commencing 31/08 and are currently being held remotely via videocall. This could be subject to change.
