Purpose of the Role:
This role provides essential administrative and operational processing support across the probate case management teams, underpinning caseload delivery and freeing case managers to focus on legal casework.
The Probate Administrator ensures accurate data entry, timely inbox/post management, initial compliance checks, and smooth onboarding and closure procedures.
Performance Measures:
- Processing Accuracy: High level of accuracy in data entry and initial documentation checks across systems (e.g., Oracle, Backstage, Exizent).
- Turnaround & Volume Targets: Timely processing of inbound post, shared inbox items, and closure forms within agreed operational SLAs.
- Process Discipline: Reliable adherence to operational procedures and compliance protocols under supervision.
What You'll Be Doing:
- Post & Inbox Management: Process inbound physical post and manage incoming correspondence across shared team inboxes.
- Data Entry & System Setup: Complete onboarding forms and accurately enter case information across core operational systems.
- Compliance Checks: Perform initial Know Your Customer (KYC), Anti-Money Laundering (AML), and K16 searches ahead of fund releases.
- File Closure & Financial Admin: Process bill payments, complete closure documentation, and handle routine closure administration.
- General Administrative Support: Assist case handlers and managers with ad-hoc operational administrative requests (e.g., routine bank contact/follow-ups).
Key Responsibilities:

Who We're Looking For:
- Is highly organised.
- Is seeking an entry point into legal/probate operations.
- Thrives in a high-volume environment.
- Takes pride in exceptional accuracy and process discipline.
- Possesses strong written communication skills.
Knowledge, Skills and Experience required:
Experience:
Prior experience in high-volume administrative or data-processing roles is advantageous, but no formal prior legal experience is required.
Education/ Qualification:
Educated to GCSE level - including Maths and English or equivalent.
Technical
- Basic data entry skills with the ability to quickly learn case management systems (e.g., Oracle, Backstage, Exizent).
- Familiarity with basic office software (MS Word, Excel, Outlook).
General
- Exceptional attention to detail and strong process discipline at volume.
- Clear, professional written communication skills.
- Reliable, adaptable, and comfortable following structured procedures under supervision.

This role is working in an SRA regulated legal practice to provide probate and estate administration services.
