Probate Case Manager

Full-time, Permanent | Maidenhead (Hybrid 3 days in the office) | Up to £30,000 per annum

Purpose of the Role

This role blends core administrative ownership with foundational legal-process tasks. The Probate Case Handler supports both admin and legal case teams by taking ownership of case-adjacent administrative tasks alongside early legal-process work—including will-checking, backlog clearance, early drafting, and institution correspondence—to ensure swift progression of the probate pipeline.

Performance Measures

  • Pipeline Progress & Turnarounds: Efficient clearance of backlogs, timely will-checks, and proactive chasing of financial institutions to advance cases.
  • Accuracy & Documentation: High accuracy in drafting initial letters of authority, notices of power, and administrative closure documentation.
  • Procedural Compliance: Adherence to KYC/AML protocols and operational SLAs under supervision.

Key Responsibilities

  • Will-Checking & Backlog Clearance: Conduct initial checks on original wills and process backlog items across active cases.
  • Legal Drafting & Notices: Draft letters of authority, notices of power, and foundational legal correspondence for institutions.
  • Institution Correspondence: Prepare initial asset and liability letters to banks/institutions and systematically follow up on outstanding responses.
  • Compliance & Verification: Complete KYC/AML letters and process initial K16 searches ahead of fund releases.
  • Closure Administration: Administer funeral bill payments, complete closure forms, and maintain accurate case status logs.

Would Suit Someone Who

  • Organised individual with developing legal awareness.
  • Is comfortable managing volume.
  • Is comfortable utilising legal software/AI tooling to drive efficiency.

Knowledge, Skills and Experience Required

Experience

Prior experience in legal administration, probate processing, or a Probate Administrator role is preferred.

Education/Qualification

Good standard of general education (GCSEs/A-Levels or equivalent); pursuing or considering paralegal/CILEx study or a Solicitor Apprenticeship is advantageous.

Technical

  • Developing procedural and legal awareness in probate and estate administration.
  • Proficiency in legal case management systems (e.g., Oracle, Backstage, Exizent) and MS Office.
  • Comfortable and confident using digital tools and AI tooling to enhance workflow speed.

General

  • Excellent organisational skills with the ability to manage high volumes alongside early judgement calls.
  • Clear, professional written communication skills when corresponding with financial institutions.
  • Exceptional attention to detail and strong process discipline.
