About the Role

We are looking for a motivated and well-organised Procurement Assistant to join our Procurement Team. This is a fantastic opportunity for someone keen to develop their career in procurement within a busy and expanding organisation.

Working closely with Procurement Managers and key stakeholders across the organisation, you will support the delivery of an efficient procurement service, ensuring goods and services are purchased in line with company policies and procedures. You will play a key role in supplier onboarding, purchase order management, data analysis, and maintaining procurement systems.

Key Responsibilities

  • Support the day-to-day operation of the Procurement function.
  • Process requisitions and purchase orders through the Coupa procurement system.
  • Raise and administer central fleet purchase orders through Coupa.
  • Maintain fleet delivery tracking documentation and provide updates to relevant stakeholders.
  • Monitor purchase orders, receipting, and invoice matching activities to ensure suppliers are paid in accordance with agreed terms.
  • Assist with supplier onboarding and ensure supplier records remain accurate and up to date.
  • Produce procurement reports and management information.
  • Monitor and resolve invoice mismatches and supplier queries.
  • Support the management of supplier performance and non-conformance reporting.
  • Ensure goods receipting is completed accurately and in a timely manner.
  • Maintain procurement documentation and support compliance with company policies and procedures.
  • Build strong working relationships with internal stakeholders and suppliers.

Requirements

To succeed in this role you will bring the following skill-set and behaviours:

  • Previous administrative experience.
  • Good Microsoft Office skills, particularly Excel.
  • Highly organised with strong attention to detail.
  • Confident working with data and reporting.
  • An effective communicator with good interpersonal skills.
  • Able to manage priorities and meet deadlines.
  • Proactive, professional, and eager to learn.
  • Customer-focused and a strong team player.

Desirable

  • Experience in procurement, purchasing, finance, or supply chain.
  • Knowledge of purchase order processes.
  • Experience using Coupa or similar procurement systems.
