THIS ROLE IS FOR SHARED SERVICES FOR HOUSING, NOT WANDLE

The Procurement Administrator(s) will be expected to provide effective procurement administrative support to all members of SSfH, as well as providing spend/data reviews and reporting information.

Key Responsibilities

  • To represent SSfH in a professional way at all times
  • To support the SSfH team in administrative tasks (letter drafting, document review, minute taking, spreadsheet compilation, Notice publications)
  • To support in the delivery of training and awareness to wider staff within SSfH members
  • To deal with day-to-day general enquiries to SSfH (manage the Procurement inbox), ensuring a prompt response to all enquiries and referring onto other staff within the SSfH team as required
  • To manage the process of internal approvals relating to procurement activity
  • To manage the process of new suppliers, including verification checks as required
  • To conduct spend reviews as required (to ensure all spend and contract details are on the relevant Contract Register and contract management software as required), and where gaps are identified, engage with the relevant Budget or Contract Manager
  • To contribute to the development and maintenance of guidance and template documentation (under guidance and instruction of more senior members of the SSfH team)
  • Input and maintain data on relevant systems, including relevant Contract Register and Contract Management software
  • Adopt and embed best practice
  • Build relationships with key stakeholders across SSfH and SSfH members

What We Are Looking For

Education and Qualifications

  • GCSE Qualifications or Equivalent (including English and Maths)

Essential Skills and Experience

  • Experience of working in administrative roles, including maintaining spreadsheets or databases and producing summary information
  • Experience in delivering an excellent customer service
  • Experience of working in a deadline driven environment
  • Ability to manage queries and positively engage with a wide range of stakeholders
  • Ability to deliver work of a high standard (including attention to detail)
  • Effectively manage and prioritise multiple work demands and priorities
  • Confident ICT user – significant experience in using Microsoft Word, Excel, PowerPoint and e-mail
  • Strong interpersonal skills
  • Professional business approach
  • Able to operate flexibly in the allocation of duties and areas of responsibility
  • Able to take full responsibility for tasks assigned
  • Customer service skills
  • Excellent presentation skills
