Role Overview
We are seeking a Procurement and Contracts Specialist to join VEV on a 12-month fixed term contract to provide maternity cover. The role is based in London and will support procurement and contract activity across VEV’s decarbonisation projects and operational requirements.
Reporting to the Procurement Director, the role will provide hands-on support across sourcing, supplier onboarding, contract administration, purchase-order follow-up, and supplier performance reporting. The successful candidate will work closely with project, engineering, finance, and operational stakeholders to help ensure procurement activities are completed accurately, efficiently, and in line with agreed processes.
This role is suited to a procurement professional with approximately three to four years of experience who can manage defined workstreams independently while escalating higher-value, complex strategic matters as appropriate.
Key Responsibilities
Sourcing and Supplier Selection
- Support and manage defined RFI, RFQ, and RFP activities for goods and services across EV charging, solar, battery storage, engineering services, and other assigned requirements
- Prepare sourcing documentation, coordinate supplier responses, and complete commercial bid comparisons and quotation evaluations
- Support supplier selection recommendations by consolidating commercial, technical, delivery, and risk information from relevant stakeholders
- Assist with negotiations on pricing, delivery, payment terms, and other commercial conditions within agreed levels of authority

Supplier Onboarding and Procurement Operations
- Coordinate supplier due diligence and onboarding, working with Finance, Legal, and other relevant teams to obtain required approval and complete system setup
- Administer confidentiality agreements, supplier records, approved-supplier information, and supplier listing or delisting activities
- Create and maintain accurate procurement and supplier information within relevant systems and trackers
- Monitor open purchase orders, supplier confirmations, and delivery dates, following up with suppliers and internal stakeholders as required
- Expedite or support the rescheduling of orders to maintain alignment with project and operational requirements
- Work with Accounts Payable, suppliers, and budget owners to investigate and resolve purchase order and invoice queries
Contract Administration
- Support the preparation, review, approval, and signature process for supplier contracts, amendments, work orders, and related commercial documents
- Maintain the contract register and accurate records of key dates, renewals, notice periods, commercial terms, and contractual documentation
- Coordinate contract implementation activities and ensure relevant stakeholders have access to current contractual information
- Monitor defined supplier obligations and support the escalation of contractual, delivery, or performance issues
- Assist the Procurement Director and internal stakeholders with contract renewals, variations, and supplier communications
Supplier Performance and Process Support
- Collect and maintain supplier performance information, including delivery, quality, responsiveness, and commercial KPIs
- Support supplier review meetings, document actions, and follow up agreed improvement activities
- Ensure procurement policies, approval requirements, and delegated authorities are followed across assigned activities
- Maintain procurement reports and trackers covering sourcing progress, contracts, supplier onboarding, open orders, and savings
- Contribute to the continuous improvement of procurement processes, templates, data quality, and ways of working
- Provide flexible, hands-on support across the Procurement team to help meet changing project and operational priorities

Qualifications and Experience
- Three to four years of experience in procurement, sourcing, contract administration, purchasing, or a related commercial role
- Practical experience supporting RFI, RFQ, or RFP processes, quotation evaluation, and supplier selection
- Experience coordinating supplier onboarding, due diligence, and purchasing system setup
- Experience supporting the administration and implementation of contracts for goods or services
- Strong numerical and analytical skills, with good attention to detail and confidence working with commercial data
- Good working knowledge of Microsoft Excel and experience using procurement, ERP, or contract management systems
- An organized, proactive, and delivery-focused approach, with the ability to manage multiple priorities and meet deadlines
- Experience within EV charging, renewable energy, construction, engineering services, or another project-based environment (desirable)
- Exposure to solar, BESS, electrical equipment, or EV-related goods and services (desirable)
- Relevant degree or professional qualification in procurement, supply chain, commercial management, or related field (desirable)
- Experience working in a fast-growth organization or developing procurement processes and templates (desirable)
