The Opportunity
Support the procurement and delivery of visual merchandising materials, POS materials, campaign materials, VM props, and gifts with purchase (GWP) across POP MART Europe.
- Play a key coordination role in ensuring purchasing requirements are processed accurately and delivered in line with campaign launches, store openings, and commercial priorities.
- Work closely with Visual Merchandising, Marketing, Retail, E-commerce, and Merchandising teams to understand purchasing requirements and coordinate orders across different European markets.
- Manage purchase orders from initial request through to delivery, maintaining accurate records and proactively following up on outstanding actions.
- Build effective relationships with suppliers and internal stakeholders to help ensure materials are delivered on time and to the required specifications.
- Join a growing European team and contribute to improving procurement processes and ways of working as POP MART continues to expand.
The Role and Candidate
This is a hands-on coordination role within the Visual Merchandising, Europe team, supporting the procurement and delivery of materials required for POP MART's retail, marketing, and visual merchandising activities.
Working closely with the Head of Visual Merchandising Europe and teams across Visual Merchandising, Marketing, Retail, E-commerce, and Merchandising, you will be responsible for coordinating purchase orders for VM props, POS materials, campaign materials, gifts with purchase, and other related items across European markets.
The role requires strong organisation and attention to detail, as you will manage multiple purchase orders, suppliers, delivery requirements, and deadlines simultaneously. You will be responsible for ensuring orders are raised accurately, tracked effectively, and delivered in line with campaign launches, store openings, and other commercial priorities.
The ideal candidate will have previous experience in purchasing, procurement, buying administration, merchandising operations, or a similar coordination role, ideally within retail, consumer products, FMCG, or another fast-paced commercial environment.
You will thrive in this role if you are highly organised, proactive, detail-oriented, and comfortable managing multiple priorities. You should enjoy working collaboratively with different teams, be confident following up on outstanding actions, and be able to identify and escalate potential issues before they affect delivery.

Responsibilities
Purchase Order & Procurement Coordination
- Manage purchase orders for VM props, POS materials, campaign materials, gifts with purchase, and other related items across POP MART Europe.
- Coordinate purchasing requirements with Visual Merchandising, Marketing, Retail, E-commerce, and Merchandising teams.
- Ensure orders are raised accurately with the correct quantities, specifications, delivery locations, and required dates.
- Review purchasing requests to ensure all required information is complete before orders are placed.
- Maintain clear visibility of purchase order status, outstanding actions, and expected delivery dates.
- Support the procurement process from initial request through to final delivery.

Supplier & Stakeholder Coordination
- Liaise with suppliers to confirm orders, specifications, quantities, delivery requirements, and timelines.
- Follow up proactively with suppliers on outstanding orders, delivery updates, and potential delays.
- Work closely with internal stakeholders to understand changing requirements and communicate updates effectively.
- Support coordination across different European markets and business functions.
- Build positive and effective working relationships with suppliers and internal teams.
Campaign, Store Opening & Commercial Support
- Coordinate purchasing requirements in line with campaign launches, store openings, and other key commercial activities.
- Ensure materials are ordered and delivered within agreed timelines.
- Work closely with Visual Merchandising and Marketing teams to support seasonal campaigns, activations, and promotional activities.
- Coordinate gifts with purchase (GWP) requirements across different European markets.
- Support the delivery of materials required for new store openings and other retail initiatives.
- Proactively identify potential delivery risks and escalate issues where required.
Order Tracking & Documentation
- Track orders from placement through to delivery and proactively follow up on delays, changes, or outstanding actions.
- Maintain accurate purchasing trackers, order records, and supporting documentation.
- Ensure key purchasing information is kept up to date and readily accessible to relevant stakeholders.
- Monitor order quantities, delivery dates, and specifications to help prevent discrepancies.
- Provide regular updates on purchasing status and outstanding orders where required.
Issue Resolution & Process Improvement
- Support the resolution of delivery, quantity, invoice, and other purchasing discrepancies.
- Liaise with suppliers and relevant internal teams to investigate and resolve issues promptly.
- Escalate material purchasing or delivery issues when appropriate.
- Identify opportunities to improve purchasing processes, tracking, and ways of working.
- Support the development of more efficient procurement processes as POP MART's European business continues to grow.
Required Qualifications
- 2–3 years of experience in purchasing, procurement, merchandising operations, buying administration, or a similar coordination role.
- Experience raising and managing purchase orders, preferably within retail, consumer products, FMCG, or another fast-paced commercial environment.
- Strong organisational skills with the ability to manage multiple orders, deadlines, and stakeholders simultaneously.
- High level of accuracy and attention to detail when handling order information, quantities, specifications, and documentation.
- Strong communication and coordination skills, with confidence working across different teams and European markets.
- Proactive approach to following up actions, identifying potential delays, and escalating issues when required.
- Good Excel and general systems capability.
- Strong administrative and record-keeping skills.
- Ability to work independently while collaborating effectively with multiple stakeholders.
- Comfortable working in a fast-moving environment where priorities may change according to campaign, launch, and business needs.
- Strong written and verbal communication skills in English.
