Procurement, Logistics & Inventory Coordinator

The Procurement, Logistics & Inventory Coordinator is responsible for supporting the day-to-day operational flow of supplier purchasing, inventory control, stock movements, customer order fulfilment, shipping, and delivery coordination.

This role is based full-time in the Blackpool office and is central to ensuring materials, components, stock, supplier orders, and customer shipments are properly coordinated, tracked, and controlled.

The role supports the Operations Director by ensuring procurement actions, inventory records, supplier follow-ups, logistics activity, and order fulfilment administration are completed accurately and on time.

Key Responsibilities

Procurement Coordination

  • Raise supplier purchase orders.
  • Send RFQs to approved suppliers where required.
  • Follow up supplier quotations, acknowledgements, and lead times.
  • Track supplier delivery dates.
  • Maintain procurement records and supplier order trackers.
  • Coordinate supplier documentation, certificates, and delivery paperwork.
  • Escalate supplier delays, pricing changes, or supply issues.
  • Ensure procurement activity follows approved purchasing processes.
  • Coordinate with Engineering to confirm technical purchasing requirements.
  • Support supplier performance tracking.

Logistics & Shipping

  • Coordinate shipment bookings with couriers, freight forwarders, and suppliers.
  • Prepare and check shipping documentation.
  • Track shipments from dispatch to delivery.
  • Maintain shipping records and delivery confirmations.
  • Coordinate delivery information with internal teams and customers where required.
  • Support export documentation where required.
  • Communicate packing, labelling, and delivery requirements clearly.
  • Escalate customs, freight, or delivery issues quickly.
  • Coordinate inbound and outbound goods movement from the Blackpool operation.

Inventory Control

  • Maintain inventory records for stock, components, filters, housings, consumables, and customer order materials.
  • Record goods received into stock.
  • Record goods issued, dispatched, or allocated to customer orders.
  • Support stock checks and cycle counts.
  • Maintain minimum stock and reorder information where required.
  • Flag low-stock items and potential shortages.
  • Ensure stock is stored, labelled, and organised correctly.
  • Support traceability of parts, materials, and finished goods.
  • Maintain inventory trackers and stock movement records.

Order Fulfilment Support

  • Support the Operations Director with customer order fulfilment after Handover from the order processing team.
  • Track order progress from internal handover through procurement, build, shipment, and delivery.
  • Maintain order fulfilment trackers.
  • Coordinate with Commercial, Engineering & Finance.
  • Support Finance with invoicing triggers and delivery confirmations.
  • Escalate order discrepancies, delays, or missing information.
  • Ensure customer order materials and documents are organised properly.

Blackpool Office / Warehouse Coordination

  • Support day-to-day coordination of the Blackpool office and operational workspace.
  • Receive deliveries and coordinate goods-in activity.
  • Prepare items for dispatch.
  • Maintain organised storage areas.
  • Ensure documents, labels, and shipment records are filed correctly.
  • Support equipment, packaging, and consumable stock control.
  • Coordinate with suppliers, couriers, and internal team members on-site.

  • Maintain supplier purchase order records.
  • Maintain inventory and logistics records.
  • File shipping documents, delivery notes, and courier records.
  • Keep procurement, inventory, and order fulfilment trackers accurate and up to date.
  • Support document control for procurement, logistics, and inventory records.
  • Help improve templates, checklists, and operating procedures.
  • Prepare regular updates for the Operations Director.

Final commercial decisions remain with the Chief Filtration Solutions Architect / commercial lead.

Required Skills

  • Strong organisation and attention to detail.
  • Experience with procurement, logistics, inventory, order fulfilment, or warehouse coordination.
  • Good written and spoken English.
  • Confident communicating with suppliers, couriers, customers, and internal teams.
  • Comfortable using email, spreadsheets, and order trackers.
  • Able to manage multiple supplier orders, shipments, and deadlines at the same time.
  • Proactive in chasing updates and escalating delays.
  • Able to work full-time from the Blackpool office.
  • Practical, hands-on, and comfortable supporting goods-in, dispatch, and stock control.

Preferred Experience

  • Experience in manufacturing, engineering, filtration, industrial products, or technical equipment.
  • Experience raising purchase orders.
  • Experience coordinating supplier deliveries.
  • Experience with stock control or inventory management.
  • Experience with freight forwarders, couriers, or export shipping.
  • Experience using HubSpot, ERP systems, Google Sheets, Excel, or similar tools.
  • Experience working with UK, European, or international suppliers and customers.
  • Experience in a warehouse, operations office, or engineering support environment.
