Location: London + UK wide travel as required (on site with option for 1 day WFH after 6 month probation)

Main Purpose

The purpose of this role is to support the delivery of procurement activity, supplier control and procurement governance across property management services within the portfolio.

Working across Property Management, Facilities Management, Asset Management and Finance, the Procurement Officer supports tender activity, supplier onboarding, contract records, procurement reporting, supplier performance tracking and cost control.

The role helps ensure the business buys well, follows agreed procurement processes, maintains accurate records, supports supplier accountability and provides practical procurement support to operational teams.

Success depends on being organised, commercially aware and able to turn agreed procurement plans into well-controlled day-to-day delivery. The postholder is expected to support multiple procurement workstreams, maintain documentation discipline, assist with supplier engagement and escalate risks, gaps or poor supplier performance where required.

This is a growth role within an expanding procurement function. A background in Facilities Management or Real Estate is required, ideally with a bias towards M&E.

Main Duties:

  • Support procurement activity across property management services, balancing value, quality, compliance and service delivery
  • Assist with end-to-end tender processes, including RFQs, ITTs, supplier selection, evaluation and contract award documentation
  • Deliver lower-risk sourcing activity and identify opportunities for supplier consolidation, cost savings and service improvement
  • Maintain and manage the approved supplier base, including onboarding, compliance checks and ongoing performance tracking (KPIs, SLAs and stakeholder feedback)
  • Coordinate supplier reviews, renewals, retenders and performance improvement plans, escalating risks, poor performance or non-compliance where required
  • Provide commercial support through data analysis, supplier comparisons, pricing evaluation and reporting on performance, savings, risks and opportunities
  • Support category planning and wider procurement strategy delivery
  • Partner with Property Management, Facilities Management and Asset Management teams to gather requirements and ensure procurement aligns with operational needs
  • Provide practical procurement guidance to stakeholders to ensure clear scoping and effective supplier engagement
  • Ensure all procurement activity follows internal governance, approval processes and financial controls, maintaining auditable records and supporting service charge transparency
  • Maintain accurate procurement and contract records, identifying process gaps and recommending improvements
  • Support mobilisation, transitions and new asset onboarding where procurement setup and supplier arrangements are required

Requirements, Skills and Qualifications

  • Procurement, supply chain, contract administration, supplier management or commercial support experience
  • Experience in property, facilities management, real estate or operational services
  • Good understanding of tendering, RFQs, supplier onboarding and procurement administration
  • Able to support negotiations through clear preparation, analysis, documentation and follow-up
  • Good understanding of contract records, procurement controls, approval processes and audit trails
  • Commercial awareness across cost, value, service quality and operational risk
  • Able to analyse spend, compare supplier proposals and produce clear summaries and recommendations
  • Strong organisational skills and attention to detail across multiple procurement workstreams
  • Confident stakeholder engagement across Property Management, Facilities Management, Asset Management and Finance
  • Clear written reporting, communication and document management skills
  • Comfortable using Microsoft Office, especially Excel, Word, and PowerPoint
