What you'll be doing
As our Procurement Operations Analyst, you'll help keep the engine room of procurement running smoothly. From supplier onboarding and contract management to reporting and system administration, you'll make sure our processes are efficient, compliant and easy for colleagues to use.
A large part of the role will involve working within Gatekeeper, our contract lifecycle management platform. You'll become our internal expert, helping colleagues get the most from the system while ensuring our supplier and contract information remains accurate, complete and trusted.
Procurement systems and process support
- Take ownership of the day-to-day administration of our contract lifecycle management (CLM) platform, including contract records, workflows, approvals, user access and data quality checks.
- Become the go-to person for the system, supporting colleagues across the business and promoting best practice.
- Deliver training and guidance to help drive adoption and improve user confidence.
- Test system updates and enhancements, identifying issues and working with providers to resolve them.
- Maintain workflow guidance, checklists, templates and supporting documentation as processes evolve.
- Monitor automated workflows and risk scores, ensuring actions are completed and records remain accurate.
- Manage procurement requests through our helpdesk, responding to queries and directing requests where needed.
- Work closely with the procurement team to continuously improve reporting, workflows and system configuration.
- Support the rollout of new features, automations and AI-enabled functionality as the platform develops.
Supplier onboarding and contract management
- Coordinate supplier onboarding activity, ensuring the right teams are involved at the right stages.
- Review supplier onboarding submissions and risk assessments, approving straightforward cases and escalating where required.
- Maintain supplier risk assessment forms and help ensure risk data remains meaningful and up to date.
- Manage supplier records, compliance documentation and expiry tracking.
- Support contract renewal planning to ensure key dates aren't missed.
- Review new contract requests and confirm the appropriate due diligence and approvals are in place.
- Check requests against existing sourcing initiatives and tenders to avoid duplication and maximise value.

Reporting and insight
- Build, maintain and improve procurement dashboards and reporting.
- Produce regular reports covering supplier compliance, contract renewals, risk management, supplier performance and sourcing activity.
- Analyse spend data and provide insight to support procurement planning and decision-making.
- Contribute to executive reports and client-facing procurement updates.
- Identify trends, risks and opportunities, helping the team make informed commercial decisions.
Supplier governance and procurement support
- Support sourcing activities, tenders and requests for proposal (RFPs) where required.
- Maintain supplier performance and KPI information within our systems.
- Assist with supplier governance reviews and help ensure supplier risk classifications remain accurate and up to date.
What we're looking for
We're looking for someone who enjoys working with data, systems and processes, but who also understands the importance of building positive relationships across a business.
Essential
- Experience working within a procurement environment, ideally in procurement operations, systems or process-focused roles.
- A solid understanding of procurement processes and supplier governance.
- Experience supporting supplier onboarding and third-party risk management activities.
- Strong analytical skills with the ability to identify trends, risks and data quality issues.
- Advanced Excel skills and confidence working with large datasets.
- Experience maintaining data quality and governance standards across systems.
- The ability to extract, analyse and interpret information from multiple systems and sources.
- Excellent written and verbal communication skills.
- Strong organisation and prioritisation skills, with the confidence to manage competing demands and challenge process deviations when needed.

Desirable
- Experience using procurement or contract management platforms such as Gatekeeper, Coupa, SAP Ariba, Ivalua or similar.
- Experience using Power BI or other reporting tools.
- Knowledge of contract lifecycle management and supplier governance.
- Exposure to sourcing, tender or RFP activity.
- A CIPS qualification, or a genuine interest in developing a procurement career through professional study.
