Procurement Operations Analyst

Location: Flexible on location in the UK with visits to our office in Wimbledon as and when required.

Contract: Permanent

Salary: Competitive


About the Role

We have a fantastic opportunity for a Procurement Operations Specialist to join our Third Party Risk Management & Procurement Team. They will be responsible for supporting the effective operation of Procurement through the maintenance and continuous improvement of procurement systems, processes, reporting, and operational controls.

Working closely with Procurement, SRM, TPRM, Finance, and business stakeholders, the role ensures procurement systems, supplier onboarding processes, spend governance reporting, and management information operate effectively and consistently across the supplier lifecycle.

The role provides hands-on support for ServiceNow, Workday, and Gatekeeper processes, Third Party Spend Forum administration, reporting, data management, and process improvement activities.


What you’ll be doing

Procurement Operations

  • Support the day-to-day operation of supplier onboarding, renewals, and purchasing processes.
  • Maintain operational trackers and management information relating to onboarding, renewals, and procurement requests.
  • Monitor operational backlogs, workflow bottlenecks, and service performance.
  • Support Procurement Managers and Purchasing Administration teams in resolving process and workflow issues.
  • Escalate recurring operational issues and improvement opportunities.
  • Support operational readiness for new processes, systems, and ways of working.
  • Maintain supplier renewal trackers and reporting.
  • Support timely engagement of Procurement, Finance, TPRM, and business owners within renewal activities.
  • Monitor renewal pipeline and highlight contracts approaching renewal milestones.

Procurement Systems

  • Administer and support Procurement workflows within ServiceNow, Workday, and Gatekeeper.
  • Act as Procurement SME for ServiceNow, Workday, and Gatekeeper processes.
  • Coordinate system enhancements, testing, workflow changes, and user adoption activities.
  • Maintain system procedures, training materials, and operational guidance.
  • Monitor workflow queues, exceptions, and process performance.
  • Support system enhancements, testing, and implementation activities.
  • Coordinate user access and system support activities.

Forums - Third Party Spend Forum (TPSF)

  • Prepare TPSF reporting, dashboards, and supporting packs.
  • Maintain TPSF trackers, action logs, and reporting outputs.
  • Coordinate stakeholder inputs and follow-up activities.
  • Support the effective operation of spend governance activities.

Reporting and Management Information

  • Produce Procurement, TPSF, and supplier reporting.
  • Develop and maintain dashboards and operational metrics.
  • Analyse process performance, bottlenecks, and improvement opportunities.
  • Support KPI and service level reporting.

Data and Controls

  • Monitor supplier and procurement data quality.
  • Perform reconciliations across Procurement systems.
  • Support operational controls and evidence gathering.
  • Assist with audit and assurance requests.

Continuous Improvement

  • Maintain process maps, procedures, and guidance materials.
  • Support training and user adoption activities.
  • Identify opportunities to simplify and automate Procurement processes.
  • Coordinate implementation of agreed process improvements.

What you'll bring

Essential:

  • Experience supporting Procurement Operations, purchasing administration, or procurement systems.
  • Strong understanding of Procurement and P2P processes.
  • Experience using procurement platforms such as ServiceNow, Workday, or Gatekeeper.
  • Strong reporting, analysis, and data management capability.
  • Experience developing process documentation, guidance materials, and process maps.
  • Experience supporting system enhancements, testing, and process improvements.
  • Strong stakeholder management and organisational skills.

Desirable:

  • Experience supporting SRM, supplier onboarding, or supplier lifecycle management.
  • Experience in a regulated environment.
  • Experience supporting audit or assurance activities.
