Procurement & Production Coordinator

Youth & Earth | Supply Chain & Operations | Full-time

Location: UK Midlands, near Birmingham, or London

Working pattern: Warehouse-based with some remote flexibility

The Opportunity

We are looking for an organised and proactive Procurement & Production Coordinator to sit at the centre of our supply chain—the link between procurement, production, warehouses, and suppliers.

You will keep purchase orders, production schedules, and stock levels aligned with customer demand, ensuring the wider team knows what is coming, when it is due, and whether anything requires attention.

This is a hands-on coordination role. You will own day-to-day execution by following up on orders, maintaining accurate data, and flagging risks before they become urgent.

Unleashed is central to our inventory and supply chain processes. Maintaining accurate and up-to-date information within the system will be a key part of this role.

Key Responsibilities

Procurement

  • Raise and track purchase orders for raw materials, packaging, and finished goods.
  • Follow up with suppliers on order confirmations, lead times, and delivery dates.
  • Maintain accurate supplier records, pricing, and payment terms.
  • Support quotation comparisons and cost tracking.

Production Coordination

  • Track production schedules against approved forecasts and stock requirements.
  • Liaise with manufacturers and co-packers regarding order status, samples, and delivery timings.
  • Identify and escalate production delays or supply risks early.
  • Provide clear and accurate progress updates to the Head of Operations.

Stock and Inventory

  • Monitor raw materials, work in progress, and finished-goods inventory.
  • Maintain accurate purchase orders, stock movements, and production information in Unleashed.
  • Reconcile manufacturer and warehouse stock against Unleashed.
  • Investigate stock discrepancies and support regular stock counts.
  • Flag low stock, excess inventory, and expiry risks.
  • Support reorder planning based on demand and current stock levels.

Logistics and Warehousing

  • Coordinate inbound deliveries and stock handovers with warehouses and 3PL partners.
  • Ensure quantities, delivery instructions, and documentation are correct before goods move.
  • Help resolve receiving discrepancies, damages, and missing paperwork.

What Success Looks Like

  • Purchase orders are raised, tracked, and followed up on time.
  • Production schedules remain visible, accurate, and current.
  • Unleashed records match physical inventory across manufacturers and warehouses.
  • Supplier delays are identified and escalated before they affect availability.
  • Actions are followed through until they are fully completed.

What You’ll Need

  • Experience coordinating procurement, supplier performance, and production planning.
  • Experience within supplements, nutraceuticals, FMCG, or packaged-goods manufacturing.
  • Hands-on experience using Unleashed is strongly preferred and will be a significant advantage in the selection process.
  • Candidates with strong experience using a similar ERP or inventory-management system may also be considered, provided they can demonstrate the ability to learn Unleashed quickly.
  • Strong Excel or Google Sheets skills for tracking orders, stock, and schedules.
  • Excellent organisational skills and attention to detail.
  • The ability to manage multiple priorities in a fast-moving environment.
  • Clear communication skills and confidence following up with suppliers and internal teams.
  • A proactive approach, with the discipline to close actions rather than allowing them to drift.

Nice to Have

  • Experience working across procurement, production, and warehouse operations within the same role.
  • Familiarity with UK, EU, or US supplement and FMCG compliance requirements.
  • Experience in a fast-growing, founder-led business where processes are still developing.

Scope of the Role

This position reports to the Head of Operations and owns day-to-day execution, including raising purchase orders, tracking production, following up with suppliers, and maintaining accurate data.

Supplier strategy, budget approval, and major sourcing decisions remain with the Head of Operations.
