About The Role
We are looking for an experienced and commercially minded Procurement & Purchasing Manager to join our team at The Stafford London.
This is a key role responsible for overseeing both the day-to-day purchasing operation and the longer-term procurement strategy across the hotel. You will ensure that the business has the right products, services and supplies available when needed, while achieving the best possible value, quality and commercial terms.
Working closely with operational teams, Finance and senior leadership, you will manage supplier relationships, purchasing activity, stock and inventory, while identifying opportunities to improve costs, efficiency, quality and supplier performance.
The successful candidate will be organised and hands-on, with strong commercial awareness and the confidence to balance immediate operational requirements with longer-term procurement objectives.
Key Responsibilities
Purchasing & Operational Management
- Manage the day-to-day purchasing requirements across the hotel, ensuring goods and services are ordered accurately and delivered on time.
- Work closely with operational departments to understand daily and ongoing requirements.
- Raise and manage purchase orders, ensuring purchasing activity is accurately recorded and controlled.
- Monitor stock levels and inventory, working with departments to maintain appropriate levels and minimise waste.
- Coordinate with suppliers regarding orders, deliveries, shortages, quality issues and discrepancies.
- Ensure products and services meet agreed quality, specification and delivery requirements.
- Monitor pricing and availability to ensure the hotel receives competitive value.
- Maintain accurate purchasing records and documentation.
- Support the business with urgent and ad-hoc purchasing requirements when necessary.
Procurement & Commercial Strategy
- Develop and implement effective sourcing and procurement strategies aligned with the hotel's commercial objectives.
- Identify opportunities to reduce costs while maintaining or improving quality and service.
- Research and evaluate suppliers, products and services to ensure the business is working with the most appropriate partners.
- Lead supplier negotiations to achieve competitive pricing, favourable terms and improved service levels.
- Support and lead tender and quotation processes where appropriate.
- Review existing supplier arrangements and identify opportunities for supplier rationalisation and consolidation.
- Develop and maintain effective supplier frameworks and preferred supplier arrangements.
- Monitor supplier performance against agreed expectations and take appropriate action where standards are not being met.
- Consider total cost of ownership, rather than price alone, when making purchasing decisions.
- Identify and manage procurement risks, including supply continuity, supplier dependency and contractual risks.
- Support the business in developing more sustainable and responsible procurement practices.

Supplier & Stakeholder Management
- Build and maintain strong, professional relationships with key suppliers and service providers.
- Act as a key point of contact for supplier-related queries and commercial discussions.
- Work collaboratively with Heads of Department and operational teams to understand business requirements.
- Partner with Finance to ensure purchasing activity, budgets and supplier arrangements are effectively managed.
- Provide senior leadership with insight into purchasing trends, supplier performance, cost-saving opportunities and procurement risks.
- Challenge existing purchasing practices where there are opportunities to improve efficiency, value or quality.
Compliance & Governance
- Ensure purchasing activity follows agreed company procedures and procurement controls.
- Maintain appropriate supplier documentation, contracts and records.
- Support contract reviews, renewals and negotiations.
- Ensure appropriate due diligence is undertaken when appointing new suppliers.
- Monitor supplier compliance with agreed contractual, quality and service requirements.
- Support the implementation of procurement policies, procedures and controls across the business.
About You
We are looking for someone who combines strong operational purchasing experience with strategic and commercial procurement expertise.
You Will Ideally Have
- Previous experience in a purchasing, procurement or supply chain management role, preferably within luxury hospitality, hotels or a similar high-end environment.
- Strong knowledge of purchasing processes, supplier management and procurement practices.
- Experience negotiating pricing, contracts and commercial terms with suppliers.
- Experience managing purchase orders, stock and inventory.
- Strong commercial awareness and the ability to identify cost-saving and value-adding opportunities.
- Excellent negotiation and influencing skills.
- Strong analytical and numerical skills, with the ability to understand pricing, spend and supplier performance.
- Excellent organisation and time-management skills.
- The ability to manage multiple priorities in a fast-paced operational environment.
- Strong communication skills and the confidence to work with colleagues at all levels.
- A proactive approach to problem-solving and continuous improvement.
- Strong attention to detail and a high level of accuracy.
- The ability to balance short-term operational requirements with long-term commercial objectives.
