Procurement & Support Administrator (f/m/d)

Position Overview:

We are looking for an organised and commercially minded Procurement & Support Administrator to help keep our projects, equipment and support activities running smoothly. You will coordinate purchasing and suppliers, maintain accurate stock and order information, support logistics and returns, and provide reliable administrative support to our Operations and Technical Support teams.

This role suits someone who enjoys taking ownership, working across several priorities and ensuring that the right information, equipment and follow-up are in place at the right time.

Key Responsibilities:

Procurement & Operations

  • Coordinate purchasing for equipment, materials and services, from supplier enquiries and quotations through to order follow-up and delivery.
  • Maintain supplier relationships and accurate pricing, product, order and procurement records, while supporting cost-effective purchasing decisions.
  • Support stock and project equipment planning, including inventory records, Bills of Materials (BOMs), deliveries and equipment allocation.
  • Coordinate returns, warranty claims, replacements and other equipment lifecycle activities with suppliers and internal teams.

Support Administration

  • Provide day-to-day administrative support to the Operations and Technical Support teams, ensuring requests and actions are recorded and followed through.
  • Maintain support and project documentation, including order details, serial numbers, return information and customer records.
  • Assist with support tickets, service requests, couriers, collections and replacement shipments, keeping relevant stakeholders updated.
  • Support general operational administration and help improve processes, templates and ways of working.

Essential Skills & Experience:

  • Previous experience in procurement, purchasing, supply chain, operations administration, technical support administration or a similar coordination role.
  • Strong organisational skills with the ability to manage multiple priorities and follow tasks through to completion.
  • Excellent attention to detail and confidence in maintaining accurate records and operational data.
  • Clear and professional communication skills when working with suppliers, colleagues and customers.
  • Commercial awareness and a cost-conscious approach to purchasing decisions.
  • Confidence using Microsoft 365, particularly Excel; experience with ERP, stock management or ticketing systems is an advantage.
  • A practical, proactive and collaborative working style, with good problem-solving skills.
  • Experience in technology, AV, manufacturing, healthcare or project-based environment would be helpful but is not essential.
