Product Coordinator

The Product Coordinator supports the Product Development, Material Tech, and Buying teams by managing product information, samples, materials, supplier communication, and critical path administration throughout the seasonal development process.

Role Overview

The information below covers the role requirements, expected candidate experience, and accompanying qualifications.

Working closely with Product Development, Design, Material Tech, Buying, Production, and suppliers, you will help ensure accurate information is maintained and communicated so products progress efficiently from concept through to production handover. This role is ideal for someone with 1-2 years' experience in product, buying, merchandising, sourcing, or a related retail environment.

Key Responsibilities

Product Development Support

  • Support day-to-day administration across assigned product categories.
  • Maintain accurate product data, specifications, BOMs, sample feedback, and development records.
  • Track sample requests, deliveries, reviews, and approvals.
  • Prepare information for range reviews, development meetings, and supplier discussions.
  • Coordinate sample stages in line with the critical path.
  • Record and follow up actions from development meetings.

Material Tech Support

  • Support administration of fabric, trim, and component information.
  • Maintain material records, approvals, testing, care, sustainability, and supplier documentation.
  • Coordinate submissions, lab dips, strike-offs, test reports, and approval samples.
  • Track material testing, wearer trials, wash care approvals, and compliance documentation.
  • Liaise with suppliers to obtain samples, information, and approvals.
  • Ensure material data is accurate and available for specifications and production handover.

Buying & Commercial Support

  • Support Buying with accurate product, supplier, cost, and range information.
  • Maintain range plans, trackers, line lists, and critical path documents.
  • Gather supplier costings, MOQs, lead times, and product details.
  • Prepare and update meeting materials and range information.
  • Ensure approved product data, colours, sizing, and attributes are accurate.
  • Highlight missing information or risks affecting range sign-off, pricing, or delivery.

Critical Path & Administration

  • Monitor critical path dates and escalate risks or delays.
  • Maintain organized records for samples, approvals, and development documentation.
  • Support communication across Product Development, Material Tech, Buying, Design, Production, and suppliers.
  • Follow up actions and ensure information is shared accurately and on time.
  • Support improvements to product administration and sample management processes.

Supplier Communication

  • Act as a key contact for suppliers regarding samples, product data, and documentation.
  • Maintain timely communication and escalate issues when required.
  • Support suppliers with deadlines and information requirements.
  • Manage supplier WIP updates and communicate actions and next steps.
  • Collate supplier updates for meetings and product status reporting.

Skills, Knowledge & Experience

  • 1-2 years' experience in product development, buying, merchandising, sourcing, production, materials, or retail.
  • Strong attention to detail and accuracy.
  • Confident communication and stakeholder management skills.
  • Well-organized with the ability to manage multiple priorities and deadlines.
  • Proficient in Excel, Word, Outlook, and product systems; PLM experience desirable.
  • Understanding of product development, materials, buying processes, or critical path management preferred.
  • Proactive, curious, and solutions-focused approach.

Key Measures of Success

  • Accurate product, material, sample, and range information.
  • Effective tracking of samples, submissions, and approvals.
  • Critical path actions completed and risks escalated promptly.
  • Clear and timely communication with teams and suppliers.
  • Strong support provided to Product Development, Material Tech, and Buying throughout the seasonal process.
