Our escorted travel portfolio includes luxury golf cruises and small group tours across the UK & Ireland, Europe, Australia, New Zealand, Japan, South America and beyond.
We are looking for a highly organised, proactive and personable Product Coordinator to join our Product Team in Helensburgh.
About The Role
Reporting to the Product Manager, the Product Coordinator will support the planning, coordination and delivery of PerryGolf’s portfolio of Small Group Tours and Golf Cruises.
This is a varied operational role combining travel planning, events management and logistics, involving golf courses, hotels, transportation, restaurants, sightseeing, guides, special events and cruise operations.
You will work with suppliers and Destination Management Companies around the world, helping turn itineraries into fully coordinated programmes ready for our guests to travel.
The successful candidate will be comfortable managing several programmes simultaneously, taking ownership of their work and identifying and resolving issues before they become problems.
Key Responsibilities
- Coordinate arrangements for escorted tours and golf cruises, including golf courses, hotels, transportation, restaurants, guides, sightseeing and other programme services.
- Confirm and maintain bookings with suppliers and Destination Management Companies.
- Coordinate special events and group functions, including welcome dinners, receptions, tournament arrangements and private dining.
- Establish detailed operational timings around ship arrivals and departures, golf tee times, travel distances, flights and programme schedules.
- Maintain accurate planning and operational information across multiple programmes and departures.
- Communicate with suppliers regarding group numbers, timings, requirements, programme updates and final arrangements.
- Prepare final operational information including guest lists, golf pairings, transportation requirements, programme timings and supplier instructions.
- Liaise with cruise partners and onboard teams regarding PerryGolf golf groups.
- Review supplier invoices and assist with supplier payments.
- Prepare information and documentation for PerryGolf Tour Hosts.
- Work with Tour Hosts and suppliers to resolve operational issues before and during programmes.
- Review guest and host feedback and help identify improvements for future programmes.
- Maintain strong relationships with international suppliers and partners.

What We’re Looking For
We are looking for someone who:
- Has excellent organisational skills and strong attention to detail.
- Can confidently manage multiple programmes, deadlines and priorities.
- Takes ownership of tasks and follows them through to completion.
- Is proactive, dependable and comfortable solving problems.
- Communicates professionally and confidently with suppliers, colleagues and international partners.
- Has strong written and verbal communication skills.
- Is comfortable working with invoices, multiple currencies and operational information.
- Is confident using Microsoft Office, particularly Excel, Outlook and Word.
- Is comfortable working with databases and learning new technology.
- Remains calm and practical in time-sensitive situations.
- Understands the high standards required in luxury travel and events.
- Works well both independently and as part of a small team.
Experience
Candidates must have a minimum of five years’ professional, office-based experience.
Experience within travel, hospitality, events management, tour operations or logistics would be a strong advantage.

Experience coordinating suppliers, venues or multi-part projects would also be beneficial.
Knowledge of golf is useful but not essential. A willingness to learn about the game, golf destinations and the requirements of travelling golfers is more important.
Location & Working Arrangements
The role is based at our office in Helensburgh, Scotland, and applicants should currently live within approximately one hour of the office. This is primarily an office-based role, with the expectation that the successful candidate will work from our Helensburgh office on a regular basis. Limited flexibility for occasional home working may be considered by agreement.
Working hours are Monday to Friday, 9:00am–5:30pm, with a one-hour lunch break.
Due to the international nature of the role, there may occasionally be a requirement for some flexibility outside normal working hours when programmes are operating.
Compensation & Benefits
- Competitive salary, dependent upon experience.
