• Manage the NPD sample storeroom, keeping prototypes and material samples organised, clearly labelled and easy to locate.
• Record incoming and outgoing samples, storage locations, movements and returns, keeping physical items aligned with the department’s records.
• Carry out regular stock checks and report missing, damaged, obsolete or low-stock items to the NPD team.
• Prepare and dispatch samples to suppliers, testing laboratories or internal teams, tracking their return where required.

Product and supplier data

• Create and maintain product codes in the ERP system in line with agreed data standards.
• Enter and update product, material and supplier data, checking records and following up to resolve missing information.
• Create routine ERP reports, spreadsheets and trackers for the NPD team.

Test reports and technical documentation

• Request test reports from suppliers, track outstanding requests and alert the NPD team to delays.
• File test reports in the testing library using the correct naming and version controls, linked to the relevant material or product.

Sample orders and team support

• Create and manage sample orders for materials and prototypes, confirming item details, quantities, supplier and delivery requirements.
• Monitor sample orders through to receipt, update the records and notify the NPD team of delays or discrepancies.
• Provide day-to-day administrative and coordination support to the NPD team.

What We’re Looking For

• Previous experience in an administrative or coordination role. Experience in product development, purchasing, supply chain, stock control or a technical environment would be an advantage.
• Experience using an ERP or similar business system to create and maintain accurate records.
• Confident using Microsoft Excel and Word, including preparing reports, spreadsheets and trackers.
• Excellent attention to detail and a consistent approach to product codes, data and documentation.
• Strong organisational skills, with the ability to maintain orderly physical storage and electronic filing systems.
• Clear written and verbal communication, with the confidence to follow up with suppliers and internal colleagues.
• Able to manage several priorities, track outstanding actions and complete follow-ups on time.
• Reliable and proactive, with a practical approach to detailed and routine work.
• Comfortable handling, labelling, packing and organising garment and material samples as part of the daily role.
• Able to work collaboratively and support a busy NPD team. Experience with textiles, garments, PPE or testing documentation would be helpful but is not essential.
