About the Role
AI has made writing software faster. Now we need to transform the way we build product around it: how we decide, prioritise, learn from customers, align teams and launch features. We’re looking for someone to redesign that operating system at Xelix: the data teams trust, the customer feedback pipeline, and the ways of working that help Product, Design and Engineering move faster without losing quality.
This is our first dedicated Product Operations Lead role, built for someone who wants to build the infrastructure of AI-native product development, not just manage the process around it.
Today, too much of the information we need is scattered across tools and rebuilt by hand. This role exists to make high-quality product decisions cheaper and faster. You will do that by automating the operational work with AI, and by giving our Trios (PM, Tech Lead and Designer) a reliable, self-serve view of what is happening.
Two things make this role different from product operations two years ago. The first is that you are expected to automate your own function. Most of the coordination, collation and reporting that product ops historically absorbed should be done by software, and building that software is the job. The second is that our teams are changing how they build, and you will own and support that change for the Trios and Squads.
This is a build role. You will report to the VP of Product and work alongside Engineering, AI Engineering, Design, Services and Product Management.
This role is about being at the cutting edge of how AI-native products are developed and the teams that build them.
What You'll Be Doing
Craft: How Our Teams Build
- Turn spec-driven working into a documented, taught and measured practice across PM, Design and Tech.
- Build and maintain the agent and skills library. Discovery, design, specification/requirements, launch, measure and learn. Most of these should now be skills and agents that teams invoke, not documents created and forgotten.
- Own the tooling our teams work in as a portfolio: Notion, Shortcut, Metabase, Gong and the AI harness layer we build agents on. Selection, integration, access, licences and cost, and retiring what stops earning its place.
- Partner with Engineering leaders in redefining the PDLC and SDLC, ensuring that Product and Design aren’t the bottlenecks in the new agentic development process.
- Train and support Trios in adoption and evolution of the PDLC and SDLC.

Customer and Market Insights
- Design one pipeline for customer evidence. Today it reaches us through several routes: sales and customer calls, support tickets, services during implementation, account managers after go-live. Consolidate the collection, classification and routing.
- The goal is that feedback is collated and summarised through automation. Your job is to build that system, evaluate it, and own the quality of what comes out of it.
- Elevate the pipeline of feedback from just insights into what drives the agentic development loops.
- Maintain a live, evidenced view of the competitive landscape and why we win and lose, refreshed from calls and deals rather than opinion.
Business Data and Insights
- You are not the person who fetches the numbers. You build the thing that means nobody has to ask.
- Build the product metrics layer as a system rather than a set of reports. Making data accessible to all PMs and Trios.
- Ship the skills, agents and query interfaces that let a PM answer their own question in minutes, plus the training to leverage them.
- Automate the standing view of product performance that feeds monthly business reviews and the board.
- Own the definitions and instrumentation behind our reliability and quality commitments, and build the reporting that produces them without manual work each cycle.
- Treat the metrics layer like a product you own: named metric owners, evaluations for anything AI-generated, and a clear answer to “whose number is right” before the debate starts.
Launch Readiness
- Expected to come into scope once the first three areas are established, rather than in the first year.
- We already release daily and the pace of our launches will increase, meaning that for customers and internal teams there is more to learn and adopt. This role will own the internal launch process so Marketing, Sales, Account Management and Services know what changed and why before customers ask them.
- Support PMs and Product Marketing in ensuring that documentation, adoption tools and communication for customers is consistent and of the highest quality while leverage AI to ensure teams can keep pace.
What This Role Is Not
We are being explicit because the boundaries matter.
- Not customer-facing enablement. Customer training sits with Services.
- Not tooling engineering. Product Operations owns the workflow, specification, evaluation and adoption. Engineering owns production infrastructure and operational reliability.
- Not a squad PM. You will not carry a roadmap for a customer-facing product area.
- Not a project manager. If this role becomes meeting scheduling and status chasing, we have got it wrong.
What Success Looks Like
Success here is measured in other people's behaviour, not in your output.
After 3 Months:
- You have a diagnosis of where our product development process loses time, and you have named the constraints worth attacking first.
- You have a sequenced plan for the year, agreed with Product and Engineering leadership, with the measures that will tell us it is working.
- Skills and agents you have built are in daily use by our Trios, not sitting in a pilot. At least one has changed how a squad works.
- Baselines are set. We know how our teams spend their week and how long our common decisions take today, so improvement can be proven rather than asserted.

After 6 to 12 Months:
- A PM answers their own data question in minutes, and nobody argues about whose number is right.
- The leadership view of product performance is clear and credible.
- Customer evidence reaches the right PM without anyone forwarding it.
- Our Trios work to a shared, documented practice, and a new starter reaches competence in a fraction of the time it takes today.
- Our PMs and Designers spend measurably less of their week on operational work, against the baseline you set.
- Several recurring meetings and reports no longer exist, and nobody misses them.
What You’ll Bring
- You have led product operations, product enablement or an equivalent function in a scaling B2B SaaS company, and you can point to systems still in use after you left.
- You are comfortable in data. You can define a metric properly, find the flaw in a dashboard, and get to an answer yourself rather than raising a request.
- You are genuinely fluent in AI, well beyond writing assistance. You build with it: agents, skills, evaluations, automations. You have opinions on where it fails.
- You automate your own work by instinct. When you find yourself doing something for the third time, you build the thing that does it.
- You are hands-on. You would rather ship a rough working thing this week than document a target operating model this quarter.
- You lead through influence. You have changed how teams work without owning them, and you know that starts with making their lives easier.
- You give people just enough process. You have seen product operations become bureaucracy and you know why it happens.
- You are comfortable in ambiguity, and you create clarity rather than waiting for it.
- You care more about outcomes than output, and you say so when something is not working.
AI fluency is non-negotiable for this role. A candidate who cannot show concrete, current practice will not pass, whatever else is strong.
Bonus
- Experience retooling a product or engineering process for AI-native delivery.
- Strong SQL, or experience owning a product analytics implementation end to end.
- Experience in fintech, accounting or financial operations software.
- A background that crosses disciplines: product, engineering, data or design
