Theatre, Live Entertainment & Cruise

Location: Remote — work from home

Salary: Competitive salary, with the expected range discussed before interview

Hours: Part-time starting from October and FULL TIME from January 2027.

Contract: Permanent

Role purpose

Manage project finances and day-to-day accounting across Beyond Talent Group and Sisco Entertainment Group’s theatre, live entertainment and cruise activities.

The Production Accountant will take ownership of preparing, maintaining and reporting against production budgets, alongside theatre settlements, cruise invoicing, cash flow forecasting and financial reconciliations.

Working closely with directors, production and bookings teams, and the external accountant, the role will provide a clear view of expected costs, income and profitability throughout each project’s life.

Working arrangements

This is a remote, work-from-home role supporting colleagues and business activities in the UK and Miami, Florida (US Eastern Time).

Agreed working hours will provide regular overlap with both teams. Some flexibility will be required for scheduled meetings and time-sensitive financial queries, with the expected working pattern agreed before appointment.

The successful candidate will be comfortable working independently, collaborating remotely and maintaining clear communication across time zones.

Key responsibilities

1. Budget preparation and ownership

  • Build production, tour and cruise project budgets with directors and relevant teams, using agreed plans, supplier quotes, artist fees and income assumptions.
  • Include relevant production, rehearsal, staffing, travel, accommodation, freight, marketing and other project costs.
  • Check that assumptions are supported, identify missing costs and challenge estimates constructively.
  • Model different income and cost scenarios to help directors assess affordability, break-even points and potential profitability.
  • Present proposed budgets for director approval and maintain a clear record of approved versions and subsequent changes.
  • Own the accuracy and ongoing upkeep of each budget, ensuring changes are recorded promptly.

2. Cost control and project reporting

  • Track actual expenditure and committed costs against approved budgets without double-counting.
  • Update forecasts to reflect remaining costs, revised income expectations and changes to project plans.
  • Explain significant variances and flag likely overspends or income shortfalls before further commitments are made.
  • Work with directors and production teams to assess the financial impact of proposed changes.
  • Produce regular reports showing budget, actual costs, commitments and forecast final profit or loss.
  • Complete final project reconciliations and identify lessons to improve future budgets.

3. Theatre and touring settlements

  • Review venue settlements against contracts and deal memos, checking guarantees, box office splits, agreed deductions and payment terms.
  • Reconcile ticket sales reports, deposits, advance payments and final balances.
  • Verify marketing, staffing, ticketing, royalty and other charges against agreed terms and supporting records.
  • Resolve settlement queries with venue finance teams and maintain a record of outstanding issues.
  • Raise the required invoices and monitor receipt of payments within contractual deadlines.
  • Reflect settlement results in tour budgets and financial reports.
  • Escalate disputed deductions, proposed write-offs and changes to commercial terms for director approval.

4. Cruise invoicing and accounts

  • Prepare and submit invoices in accordance with cruise contracts and each client’s billing requirements.
  • Check billing entities, vessels, artists or productions, performance dates, fees, currencies and purchase order references.
  • Submit supporting documents through the appropriate supplier portals or client systems.
  • Track deposits, instalments and final balances.
  • Reconcile receipts, identifying currency differences, bank charges and payment shortfalls.
  • Resolve invoice queries and follow up overdue balances with cruise line finance teams.
  • Ensure booking changes, cancellations, extensions and approved additional costs are reflected accurately in invoices and project forecasts.

5. Cash flow, payments and credit control

  • Maintain cash flow forecasts using expected receipts, payment dates and committed expenditure.
  • Distinguish project profitability from the timing of cash receipts and payments.
  • Highlight potential cash flow pressures and significant changes to forecasts.
  • Check artist, freelancer and supplier invoices against agreed fees and approved expenses.
  • Prepare payment schedules for authorisation, with appropriate supporting information.
  • Monitor aged receivables and pursue outstanding balances professionally.
  • Give directors clear updates on overdue accounts, upcoming commitments and unresolved payment queries.

6. Accounting and reconciliations

  • Maintain accurate sales and purchase ledgers, including invoices and credit notes.
  • Reconcile bank accounts and allocate receipts and payments correctly.
  • Record income and expenditure against the appropriate company and project.
  • Maintain supporting records for transactions between the businesses.
  • Prepare month-end reconciliations and schedules, including accruals and prepayments where appropriate.
  • Work with the external accountant on VAT treatment, accounting queries and year-end information.

7. Processes and collaboration

  • Maintain organised records of contracts, deal memos, budgets, purchase orders, invoices and settlements.
  • Keep a schedule of reporting deadlines, invoicing dates, settlements and payment milestones.
  • Work with production and bookings colleagues to capture financial changes promptly.
  • Coordinate financial information and deadlines across the UK and Miami teams.
  • Improve processes and reporting to reduce errors, delays and duplicated work.
  • Follow approval procedures and maintain a clear audit trail.
  • Handle financial, personal and commercially sensitive information with discretion.

Authority and accountability

The Production Accountant owns the preparation, accuracy, maintenance and reporting of project budgets. Directors and production teams provide the creative, operational and commercial requirements on which those budgets are based.

Directors retain approval of budgets, spending commitments and commercial decisions. Payment releases, write-offs, unagreed deductions and changes to deal terms must follow the companies’ agreed authorisation procedures.

The role is expected to question discrepancies, highlight financial risks and recommend options. Specialist accounting and tax matters will be referred to the external accountant as appropriate.

Person specification

Essential

  • Experience in production accounting, management accounting or a comparable project finance role.
  • Practical experience building budgets, tracking committed and actual costs, and forecasting final financial results.
  • Ability to assess income and cost assumptions and explain budget variances clearly.
  • Strong bookkeeping, bank reconciliation and financial reporting skills.
  • Experience managing invoicing, payment schedules and credit control.
  • Confidence using accounting software and spreadsheets.
  • Ability to interpret contracts and apply commercial terms accurately.
  • Excellent attention to detail and the ability to manage deadlines across multiple projects.
  • Clear communication with both financial and non-financial colleagues.
  • Ability to work effectively from home, take ownership and resolve discrepancies.
  • Availability for agreed working hours that accommodate UK and Miami team coordination.

Desirable

  • Theatre box office settlements, touring finances or live entertainment accounts.
