Production & Operations Coordinator
About the Role
Maven is looking for a Production & Operations Coordinator to join our London team. This is a broad, hands-on generalist role suited to someone who wants exposure across operations management, production coordination, business affairs administration, and film library oversight at a small independent company. This role reports to our VP, Production & Operations, Sophia Pedlow, and is primarily a support and administration role with opportunity to grow into more independent ownership over time.
This role suits someone who is deeply organized, comfortable wearing multiple hats, and excited by the idea of understanding how an entire independent production company runs - not just how a single film gets made.
About Maven
Maven Screen Media is an independent development and production company dedicated to producing multi-platform film and television content while increasing representation for women in front of and behind the camera. Spearheaded by co-founders Celine Rattray & Trudie Styler, Maven is known for championing women in film with a slate of powerful female stories, including ELEANOR THE GREAT, directed by Scarlett Johansson, HAPPY HOURS, directed by Katie Holmes and UP AGAINST IT, directed by Trudie Styler.
We are a small but mighty full-service team, with a transatlantic footprint via offices in London and New York. Trudie Styler leads Maven’s global creative strategy whilst also Directing and producing key pictures. Celine Rattray oversees Maven’s global output, under which sits Anna Smith Tenser (Chief Content Officer) who oversees Maven’s slate across UK and Europe, and Jenny Halper (EVP, Head of Creative) who manages the US slate. Georgie Mullock serves as Jr Development Executive across the slate. Sophia Pedlow manages global finance, business affairs and operations for the company alongside production oversight.

Responsibilities
Team Coordination
- Track next steps and deliverables against project plans and budgets
- Coordinate external meetings, including pitches with buyers and talent
- Support the team in orchestrating weekly meetings as well as semi-annual staff performance reviews and annual company strategy offsites
- Handle day-to-day office administration (phones, mail, filing, physical and digital organization)
Finance & Business Affairs
- Maintain the company database of projects, agreements, and contractual obligations
- Support deal and contract administration and tracking
- Help manage day-to-day relationships with key vendors and service providers
- Facilitate bill, vendor, and contractor payment processing
- File monthly invoices and receipts for the bookkeeping team
- Implement staff expense tracking in line with company policy
- Assist with research on the financial viability of projects under consideration

Production Support
- Perform production coordination duties as needed across pre-production, principal photography, and post-production
- Support timely delivery of finished productions to distributors
Library Oversight
- Review and file sales, distribution, and collection account reports for the film library
- Liaise with distributors and guilds to help ensure library compliance
- Coordinate with collection account agents on compliance and timely payment processing
- Help prepare stakeholder reports on released library titles for partners, investors, and producers
What We're Looking For
Required
- Bachelor's degree or equivalent professional training
- Excellent written and verbal communication skills
- Strong organizational skills and close attention to detail
- Ability to manage multiple deadlines and shifting priorities in a fast-moving small team
- Comfortable working independently, with good judgment about when to escalate versus solve issues directly
Preferred
- Previous experience in film or television
- Experience representing a company externally with creative or production talent
- A proactive, entrepreneurial mindset - comfortable proposing improvements to existing processes
- Calm, positive demeanor under pressure
