Production and Planning Assistant - 12m Maternity Cover - Fully Remote

This is a fixed term role for an experienced Assistant to support the Production Manager.

We are an agile and fast-moving business. We work remotely and we are looking for someone who will enjoy being part of a small, friendly, and super-dedicated team.

Salary: £19,600 per annum (25 hours per week), equivalent to a full-time salary of £31,360 per annum

Main Responsibilities

  • Working closely with the Production Manager to assist with general administrative tasks and keep databases and systems up to date.
  • We produce a wide range of products from a number of different manufacturers. Each product is made from a number of different components - all of which must be planned accurately.
  • Specific tasks include, but are not limited to:
    • Obtain quotations, raise purchase orders on Xero, and place purchase orders with suppliers.
    • Chase order confirmations, free issue component requirements, artwork proofs, and update Xero, Asana, and other systems with confirmed delivery dates.
    • Manage product compliance: ensuring EU/UK regulatory portals are up to date and provide information for our wholesale team to ensure compliance in other territories.
    • Create product codes and barcodes, and maintain records of these.
    • Review physical finished product, component samples, and artworks/proofs in conjunction with the Production Manager.
    • Liaise with our fulfillment house to ensure new products and purchase orders are created on their systems. Collect relevant regulatory documents.
    • Work closely with our fulfillment house to ensure deliveries are booked in with the relevant documents, and are booked onto their system in a timely manner and DN’s/GRNs are created and checked against our POs and invoices.
    • Approve production invoices for payment.
    • Manage the inventory tracking in our warehouses and booking-in process of free issue components with our suppliers.
    • Monitor and manage incoming international component shipments, including customs clearing and payments.
    • Maintain and update product and business information on the CPNP and SCNP databases.
    • Maintain up-to-date files of Safety Data Sheets, Certificates of Analysis, batch codes, and PIFs for all product orders.
    • Keep up-to-date databases for various activities, EPR, range sheets, tracking PO’s and deliveries, components, Asana project management, Production BOM’s, and various others.

Requirements and Experience

  • Minimum of 2 years’ experience in a similar role, ideally within the beauty industry. We will consider candidates with experience from other consumer goods or fashion backgrounds.
  • You must be a UK resident and be eligible to work in the UK.

Skills and Knowledge

  • A good team player who has a ‘can-do’ attitude.
  • Experience using AI and cloud-based technology - we use Claude Co-work, Google Drive, Asana, and Xero.
  • Technologically competent and flexible. Able to take initiative and learn quickly.
  • Excellent organizational & communication skills.
  • Creative problem solver with good accuracy and attention to detail.
  • Comfortable working in a flexible team environment, collaborating with colleagues, and helping/supporting them in their roles as required.

About the Role

  • This position is offered for 12 months commencing 21st Sept.
  • Hours of work: 9-2pm Mon - Fri.
  • Salary: £19,600 per annum (25 hours per week), equivalent to a full-time salary of £31,360 per annum.
  • Holidays: 20 days and UK Bank Holidays.
  • The successful candidate may be considered for different roles at the end of the mat leave cover.
  • Remote working and must have a suitable office set-up and Internet facilities.
