About GLO

GLO (GloCast Ltd) is a video and live event production company with bases in Edinburgh and London. We deliver technical production for corporate conferences, education, arts and public sector events across Scotland, England and internationally. Our work ranges from single-camera shoots through to multi-day conferences with full AV, video and streaming delivery.

As the business grows, we are strengthening the team behind that delivery.

Role Overview

We are looking for a proactive and organised Production Assistant to support both production management and business development at GLO. This is a varied, hands-on role suited to someone early in their production career who wants exposure to the full lifecycle of a project, from initial client enquiry and quoting through to on-the-ground event delivery.

Roughly 60% of the role is production administration and logistics, and roughly 40% is business development support. Where the two compete for your time, production delivery takes priority.

Our year is seasonal. Conference season brings concentrated periods of long days and fast turnarounds, followed by quieter months. This role is busiest when our events are, which is the reason the flexi time arrangement below exists. We envisage most of your work to be inside normal office hours.

Key Responsibilities

Production logistics and crew co-ordination

  • Keep job records and project detail up to date in Asana and Notion as new work comes in.
  • Book freelancers and additional crew to instructions from Production, confirming dates and agreed rates.
  • Maintain the freelance pool: availability, contacts and rate records in Notion.
  • Co-ordinate crew movement between our Edinburgh and London bases, including travel and accommodation.
  • Arrange travel and accommodation for shoots and events, and support visa documentation and travel carnets for international projects.
  • Work with the technical team to confirm all project details are finalised ahead of each delivery.
  • Support the setup of business and supplier accounts as needed.

Job costing and accounts

  • Reconcile costs against each job after delivery, so that job profitability is known and recorded.
  • Raise sales invoices and process purchase invoices in Xero, under supervision.
  • Chase freelancer and supplier invoices, and complete supplier forms and project documentation.

Business development support

  • Support day-to-day client communications.
  • Help build quotes and specifications for events, working with the Business Development Manager and heads of department.
  • Assist with client proposals and pitch documents for new opportunities.
  • Keep records accurate and current in HubSpot.
  • Support broader marketing and social media activity.

General

  • Provide day-to-day administrative support across production and business development.
  • Represent GLO professionally and warmly with clients, freelancers and suppliers.

Skills and experience

Essential

  • Strong written and verbal communication, with a warm, professional manner.
  • Highly organised, able to hold multiple tasks and shifting priorities without losing the detail.
  • A genuine interest in video production, live events or the broadcast and AV industry.
  • Comfortable picking up new systems. We use HubSpot, Asana, Notion, Xero and BreatheHR, along with both the Microsoft and Google office suites.
  • Proactive, and willing to get involved at every level from admin through to on-site support.
  • Willing to work outside standard hours during events, and open to occasional travel.

Desirable

  • Previous experience in production, events or a client-facing role, including placements, internships or freelance work.

Employee Hours and Benefits

  • Working week: Our office is open Monday to Friday, 9.00am–5.30pm. You'll work 30 hours per week across Monday to Thursday though we're open to discussing an alternative pattern for the right person. Hours are logged via BreatheHR.
  • Holiday: 28 days full-time equivalent, pro-rated for your four-day week, plus one additional day’s leave for your birthday each year. Bank holidays and the office Christmas closure are included in this allowance.
  • Pension: Company pension scheme with auto-enrolment.
  • Healthcare: Private healthcare scheme.
  • Cycle to Work Scheme.
  • Bonus: Discretionary bonus scheme.
  • Flexi time: Hours worked beyond your contracted 30 are banked and taken back as time off (typically in the quieter post-conference-season period) rather than paid as overtime. Balances are tracked on BreatheHR and reviewed monthly.
  • Training: Support for relevant training and attendance at industry events.

Salary

  • £27,000 full-time equivalent, pro-rated to £21,600 per annum for your 30-hour, four-day week.

Terms

  • Probation: Three months.
  • Notice period: One week during probation, rising to one month thereafter.

Where you will work

Our Edinburgh office at 19 Windsor Place, Portobello, EH15 2AJ, which is a short bus ride from the city centre. The role is mostly office-based.

Travel is not a regular feature of this role, but there is potential for occasional trips outside Edinburgh, most often to London, and very occasionally overseas.

Reporting

Debbie Laird (Production Manager) is your line manager and sets your day-to-day priorities. You will work closely with Lauren Torrance (Business Development Manager) on the business development side of the role, with competing demands resolved through Debbie.
