About the Role

Canoe is seeking a proactive Production Assistant with a minimum of two years experience to support the delivery of projects across our PR, social, and creative work-streams. You’ll work closely with senior colleagues to keep activity moving and help ensure projects run smoothly from brief to delivery.

We are looking for someone organised, calm under pressure, and comfortable working with a mix of internal teams and external partners. You’ll keep detail tight, solve problems early, and step in where support is needed. Some experience in a media or creative studio environment is helpful, along with a basic understanding of design processes across print and digital. Event experience is an advantage, but not essential. A personable manner and a willingness to learn will matter as much as technical skill.

The Day to Day

  • Act as an initial point of contact for clients and suppliers, escalating where needed
  • Support the receipt and distillation of briefs, ensuring objectives are clearly captured
  • Assist with timelines, budgets, and resource planning
  • Maintain project schedules, status updates, and workflow documents
  • Help manage relationships with freelancers, agencies, and production partners
  • Ensure the team has the information and materials required to progress their work
  • Assist with on-site event coordination as directed by senior staff
  • Organise and attend site visits where required
  • Contribute to risk assessments and call sheets
  • Support the accounts team with accurate billing and project admin
  • Prepare draft quotes and invoices in Xero for senior approval
  • Carry out general administrative duties including processing receipts, archiving files, and occasional PA support
