Who We Are

UKi Media & Events is an international specialist event organiser and publishing company based in Dorking, Surrey. With a team of over 90 people, we publish 13 magazines spanning the automotive, aerospace, marine, meteorological and logistics sectors, and we're proud to deliver world-class events and publications to specialist audiences globally. Our new central Dorking offices are collaborative, engaging, and built for people who want to do great work.

This is a full-time, permanent role based in Dorking, with at least three days a week in the office.

Who We Are Looking For

You're someone who thrives on detail and deadline-driven environments. You keep multiple workstreams on track simultaneously, coordinating content, managing suppliers, and keeping stakeholders informed without dropping the ball. You catch errors before they reach print, chase copy proactively when it's late, and communicate clearly with everyone from internal teams to external printers.

You're organised, meticulous, and genuinely enjoy making sure publications come out perfect and on time. You understand that every missed deadline or error has consequences, and you own that accountability.

The Role

Coordinate Content & Copy

  • Create and maintain copy lists for emailers, web banners, newsletters, show news, supplier spotlights and advertisements
  • Chase advertisers and stakeholders for copy, content and artwork in line with deadlines
  • Check submitted content for completeness and suitability; flag issues promptly
  • Track progress against deadlines and keep Sales, Editorial and other teams updated

Manage Magazine Production

  • Create and maintain advertising index
  • Prepare PDF files of advertisements and publication pages for review
  • Check page numbers against flat plan and identify discrepancies
  • Share preview binder with Publishing team and complete requested changes accurately

Oversee Print & Digital Publishing

  • Liaise with printers and coordinate amendments to print deadlines
  • Create print orders and ensure artwork is supplied on time
  • Review and sign off printer proofs; escalate issues where required
  • Prepare and crop the preview binder for digital publication
  • Upload completed magazines to BlueToad platform
  • Check all URL links for accuracy before publication
  • Publish the digital magazine and share with relevant teams

Manage Purchase Orders & Administration

  • Raise requisitions in Unit4 and follow up for approval
  • Provide purchase order numbers to suppliers
  • Maintain clear and accurate records of requisitions, approvals and purchase orders
  • Process voucher copy requests; obtain quotations from printers
  • Arrange approvals with budget holders and confirm orders with printers

Essential

ABOUT YOU:

  • Strong organisational skills and ability to manage multiple tasks and deadlines simultaneously
  • Excellent attention to detail and careful, accurate approach to checking content and proofs
  • Confident written and verbal communication skills
  • Proactive approach to chasing information, resolving issues and keeping stakeholders informed
  • Good administration skills and clear record-keeping
  • Proficiency in Microsoft Excel, Word and Adobe Acrobat
  • Comfortable working in fast-paced, deadline-driven environments

Desirable

  • Previous experience in publishing, production, print, media or deadline-driven environments
  • Experience using Unit4 (training can be provided)
  • Experience with digital publishing platforms or BlueToad
