Main Purpose of Job

To work with the Production Manager providing co-ordination support across projects and to the wider team.

Key Responsibilities And Accountabilities

  • To provide key production assistance and co-ordination support in conjunction with the editorial and production management team across a range of productions
  • Negotiating, booking and scheduling freelancers (e.g. Editors, Voiceovers) as well as post-production facilities
  • Booking travel, accommodation and crew for domestic/international shoots/outside broadcasts, and arranging all logistical requirements (including visas, carnets etc.)
  • Clearing archive/music (as directed by the PM)
  • Support the team with new pitches, budgeting, contracting and general administrative duties
  • Ensuring risk assessments are properly created by the relevant producer and health and safety is fully considered for all shoots and post production work, including but not limited to Covid-19
  • Creating call sheets and being point of contact for crew out of office hours (if required)
  • Completing post-production deliverable paperwork
  • Raising PO’s and work orders and reconciling credit card and float spend
  • Assist in budget compilation when required, input committed costs into Cost Report, and assist with reconciliation in conjunction with the Finance Assistant
  • Trouble shooting and dealing with ad hoc production queries/duties within the department in conjunction with the Production Manager
  • Being point of contact for internal and external clients
  • Ensure smooth day to day running of outside broadcasts on location under supervision of PM
  • You may also be required to carry out any other duties which are within the scope and purpose of the job

Key Results Areas

  • Excellent production co-ordination and support across general productions
  • Effective production support for production management team
  • Facilitating excellent communication within the team and externally, including via the issuing of comprehensive and accurate Call Sheets
  • Ensuring all necessary paperwork, filming permits, release forms, risk assessments are in place for production
  • Ensuring all production deliverables (including ‘programme as completed’ paperwork, project Albert and Diamond Diversity ) is completed in a timely manner
  • Compliance with company procedures as detailed in IMG’s Production Guide

Knowledge And Experience

  • Experience working in a fast-paced environment
  • Experience in creating call sheets, booking freelancers and suppliers, and arranging travel logistics
  • Understanding the process and rationale of the cost tracking system
  • Understanding of Health and Safety paperwork requirements, including risk assessments
  • Knowledge and understanding of production workflows
  • Experience of clearing music and archive footage

Skills And Abilities

  • Excellent attention to detail
  • Previous experience of working to deadlines – works well under pressure, managing and prioritizing workload effectively
  • Microsoft Word, Excel
  • Excellent communication skills (both written and verbal)
  • Plans ahead and effectively organizes workload
  • Excellent time management - reliable and punctual
  • Willingness to learn new systems and processes
  • Calm under pressure
  • Positive, professional and pro-active approach to work effectively as part of a team and independently (without close supervision) – showing initiative

Qualifications And Training

  • Maths and English GCSE pass (or equivalent), Health & Safety and Project Albert trained (This will be provided if current training is not up to date)

Working Conditions

  • This is a full-time fixed-term contract
  • The role will be based at our at office in Stockley Park, Uxbridge on a hybrid basis
  • Working hours are 9:00 – 17:00, Monday to Friday
  • Some travel and weekend work may be required
