Production Manager – Medical Communications
About the role
SaySo Medical is looking for an experienced Production Manager – Medical Communications, to join our team in Farringdon, London.
SaySo is a specialist medical communications agency combining live and virtual experiences, video and digital technology to help pharmaceutical and healthcare organisations engage healthcare professionals, clinical trial sites and other audiences around the world. This is not a traditional AV production role. We are looking for someone who understands the pharmaceutical or healthcare environment and can take ownership of complex, multi-channel client projects from initial brief through to delivery.
You will manage a varied portfolio spanning face-to-face, hybrid and virtual meetings, video and podcast production, digital communications and projects delivered through the SaySo Medical Platform. These may include medical education programmes, advisory boards, investigator and site meetings, webinars, content hubs, on-demand libraries and other digital engagement programmes.
Working directly with pharmaceutical and healthcare clients, you will translate briefs into detailed delivery plans, coordinate internal and external teams, manage timelines and budgets, navigate pharmaceutical approval and compliance requirements and ensure every element is delivered to a consistently high standard.
You will work closely with colleagues across Production, Product, Development, Design, Scientific/Medical and Video, giving you the opportunity to work at the intersection of medical communications, digital technology and production.
Hours: 37.5 hours per week. To support varying time zones globally there will be the requirement to work very occasional unsociable hours. This time will be given back in lieu as appropriate.
Salary: Salary and package dependent upon experience.
Key responsibilities
Client and project delivery
- Own projects from initial brief through planning, production, launch/live delivery and post-project evaluation.
- Develop detailed project plans, budgets, timelines, resource requirements and risk/contingency plans, using Monday.com to manage delivery.
- Lead regular client meetings and act as a trusted day-to-day contact for pharmaceutical and healthcare clients.
- Manage project scope, budgets, suppliers and change requests, identifying risks and potential out-of-scope activity early.
- Coordinate multidisciplinary teams including scientific/medical, creative, video, digital/product, development, AV and external suppliers.
Pharmaceutical and medical communications
- Deliver projects within the requirements of a regulated pharmaceutical environment, working with clients to ensure materials and communications have undergone the appropriate review and approval before use.
- Work confidently with healthcare professionals, faculty members and senior client stakeholders across Medical Affairs, Clinical Development/R&D and Commercial teams.
- Coordinate speaker/faculty communications, briefings, rehearsals and project documentation.
- Support clients and internal teams in developing engaging, audience-appropriate medical and scientific experiences.
- Maintain strong attention to version control, approval status, audience suitability and other project-specific compliance requirements.

Digital and platform delivery
- Manage digital projects delivered through the SaySo Medical Platform, including meeting hubs, registration journeys, content libraries, portals and other digital experiences.
- Translate client requirements into clear briefs for Product, Development, Design and Content teams.
- Configure and manage content through the platform CMS and coordinate digital content, registration, email and user journeys.
- Coordinate platform QA and user acceptance testing, ensuring digital experiences work as intended before client launch.
- Manage the publication and lifecycle of approved videos, documents and other digital resources.
- Work with analytics and engagement data to produce post-project reports, insights and recommendations for clients.
Events, video and content production
- Manage end-to-end delivery of face-to-face, virtual and hybrid meetings.
- Work with AV, streaming and technical partners to scope technical requirements and coordinate venue/site checks, rehearsals, contingency planning and live delivery.
- Produce detailed event running orders, speaker briefs and production documentation.
- Manage interactive functionality including live polling, Q&A and audience engagement tools.
- Coordinate video, podcast and other content production from initial brief through recording, editing, approval and publication.
A working knowledge of AV, livestreaming and event technology is important; however, this role is focused on production management rather than operating AV equipment.
About you
You will ideally have experience working within a pharmaceutical, healthcare, life sciences or medical communications environment, either within an agency, pharmaceutical/biotech company or related organisation. You will be comfortable managing complex client projects and combining excellent project management with an understanding of the particular requirements associated with pharmaceutical communications.
Experience delivering medical meetings such as advisory boards, medical education programmes, clinical research, investigator meetings, congress activities or HCP engagement programmes would be particularly relevant.
Experience of digital delivery - for example websites, content hubs, portals, CMS platforms, registration journeys, e-learning or other digital products would also be highly advantageous.
You should have excellent client and stakeholder management skills, be highly organised and comfortable handling several projects simultaneously, and remain calm and solutions-focused during live delivery.
Knowledge of pharmaceutical review and compliance processes, including experience with ABPI/EFPIA principles, medical/legal/regulatory review or platforms such as Veeva, would be advantageous.

Requirements
Essential experience:
- Experience working within the pharmaceutical, healthcare, life sciences or medical communications sector, ideally within an agency environment.
- Working knowledge of virtual and hybrid event production, livestreaming and AV technologies.
- Proven experience managing complex client projects from initial brief through to delivery, including timelines, budgets, resourcing, suppliers and stakeholder management.
- Strong understanding of working within a regulated environment, including the need for appropriate content review, approvals, version control and compliant communications.
- Experience working directly with clients and senior stakeholders across functions such as Medical Affairs, Commercial/Marketing or Clinical Development.
- Demonstrated ability to manage multiple concurrent projects, priorities and deadlines while maintaining a high level of attention to detail.
- Experience coordinating multidisciplinary teams, which may include medical/scientific, creative, digital, video, AV, development and external suppliers.
- Confidence working in live delivery environments and managing projects where timings, content and technical requirements need to come together seamlessly.
Desirable experience:
- Experience delivering medical meetings such as advisory boards, medical education programmes, clinical research, investigator meetings, congress activities or HCP engagement programmes.
- Experience delivering digital or platform-based projects, such as websites, content hubs, portals, registration journeys, e-learning, on-demand libraries or other digital engagement programmes.
- Knowledge of pharmaceutical compliance frameworks and approval processes, including ABPI/EFPIA guidance, medical/legal/regulatory review or Veeva approval workflows.
- Experience producing or managing video, podcast or other multimedia content.
- Experience using CMS platforms; experience with Wagtail would be advantageous but is not essential.
- Experience with project management tools such as Monday.com and email marketing or audience engagement platforms.
- Experience using engagement data and project KPIs to produce post-project reporting, insights and recommendations.
