Are you the person who makes sure the crew is booked, the delivery is confirmed and everyone knows where they need to be?
Present Communications provides AV, live streaming, and technical production for corporate events. We’re looking for an organised, proactive coordinator to help our small team deliver great work.
You’ll work closely with me, our project manager, and our technical team, keeping the details moving from confirmed booking through to final paperwork.
What you’ll do:
- Coordinate crew bookings, schedules, transport, and accommodation.
- Keep clients, venues, suppliers, and freelancers informed.
- Maintain accurate job records, confirmations, and production paperwork.
- Coordinate routine venue jobs, with technical support from the team.
- Prepare invoices using information approved by the project lead and keep financial administration up to date.
- Spot missing information and scheduling clashes early, and follow them through to resolution.
- Help improve the everyday processes that keep the business running.

What we’re looking for:
- Experience coordinating events, production, AV hire, or similarly busy operations.
- Strong organisation and confident, friendly communication.
- Confidence with numbers, spreadsheets, and learning new systems.
- The judgement to resolve routine issues and know when to ask for a decision.
- Someone who enjoys taking responsibility and seeing tasks through.

You don’t need to operate a mixing desk; you should be interested in how events come together and comfortable working with technical people.
This role is primarily based in our Wimbledon office. Working alongside the team is an important part of it, with occasional on-site support and flexibility around event schedules.
