The Pauline Quirke Academy of Performing Arts (PQA) is a national network of performing arts academies, providing outstanding extracurricular training in Comedy & Drama, Musical Theatre and Film & Television for students aged 4–18.
Role Overview
The Productions and Events Coordinator plays a key role in the successful planning and delivery of PQA's productions, performances, conferences and Stage and Screen events.
Supporting the Productions and Events Manager, the postholder will coordinate the operational delivery of PQA's West End experience and other HQ-led productions and events, ensuring they are well organised, effectively communicated, compliant, safe and focused on providing an outstanding experience for students, families and the wider PQA network.
Key Responsibilities
- Coordinate the critical path for PQA’s West End experience, ensuring key actions, deadlines and requirements are effectively managed to support successful delivery.
- Coordinate administration, staffing, scheduling, performance requirements and communications for PQA productions, performances and events.
- Play a vital, hands-on role in the on-site delivery of PQA productions and events, including the West End experience, annual conference and Stage and Screen events, working with colleagues, production teams and venues to ensure their smooth and successful running.
- Create and maintain guides, training materials, processes and administrative resources for Principals participating in West End performances, providing guidance and responding to queries as required.
- Coordinate licensing requirements for West End performances, ensuring documentation is accurate and submitted within required timescales, and support adherence to relevant licensing requirements across PQA and the network.
- Work closely with PQA’s external production teams to ensure students, Principals and teachers have a safe, well-organised and positive experience, escalating issues or concerns as appropriate.
- Communicate with parents and families as required, providing clear and timely information relating to productions and events.
- Contribute creatively to PQA-produced opportunities and to research, coordinate and support additional production and performance opportunities for students across the network.
- Support Principals with the practical guidance and resources required to produce high-quality productions and showcases within their own Academies.
- Coordinate PQA’s involvement with external production companies, artists and partners and liaise with theatres, performance spaces and suppliers to support safe, appropriate and high-quality opportunities.
- Work collaboratively across departments to create, review and update production resources, assets and guides, ensuring they remain current and reflect best practice.
- Undertake site visits to theatres and venues as required to support the planning and delivery of productions and events.
- Maintain accurate production and event records, documentation and reports, and support departmental budgeting and financial administration processes as required.
- Champion equality, diversity and inclusion and support reasonable adjustments when planning and delivering productions and events.
- Undertake ad hoc duties as required.

- Hours: Full-Time (40 hours p/w, any 5 days in 7 as required). Evening and weekend working will be required.
- Location: High Wycombe (Head Office), with some home working available. A minimum of 3 days per week will be worked at HQ, with travel across the UK to theatres, venues, and events as required.
Essential Skills / Experience
- Excellent communication skills.
- Confident presentation skills.
- Knowledge of the productions and performance industry.
- Strong organisational skills.
- Able to think creatively and innovatively.
- Good attention to detail.
- Able to work both collaboratively and independently to support the team.
- Process-oriented.
- Comfortable managing multiple priorities simultaneously.
- Good working knowledge of Microsoft packages and project management software.
- Ability and willingness to work unsocial hours, including evenings and weekends.
- A love of theatre and a desire to make a difference in the lives of young people.
