Portfolio & Transformation Management Office (PMO) Analyst
We are looking to employ a PMO Analyst to be based in the Manchester Office on a full time basis. We offer hybrid working with 2-3 days per week in the office.
The requirement is for an experienced PMO Analyst to work in a Portfolio & Transformation Management Office (PMO), working closely with the Portfolio & Transformation Management Office Lead to provide support with governing and reporting on the Portfolio of Projects including the support of key governance meetings such as the MRSG Change Committee and MRSG Executive Committee (Transformation).
The candidate should have experience in working in a portfolio office across the full spectrum of portfolio office services. The candidate will need to work closely with Business Project Managers to guide them on the expectations of the full spectrum of portfolio office services.
The candidate will be comfortable with data aggregation and analysis.
Responsibilities
Support the Portfolio & Transformation Management Office Lead in the following activities:
- Carry out maintenance and system administration of the in-house project portfolio management system GoldMine, storing all imperative data on Projects, Programmes, and Portfolios. In addition, train and support users.
- Support facilitation of the Business Resource Management using GoldMine in order to reach an informed position of the scheduling of Projects and Programmes, including working with business functions to identify and build out resource availability.
- Manage the Portfolio calendar; co-ordinate the timely preparation of recurring meeting packs according to Portfolio Governance and the Calendar.
- Support key portfolio governance meetings, including: arranging meetings; gathering, preparing and circulating meeting materials; preparing and circulating decisions and actions; and updating governance logs.
- Monitor the shared PMO mailbox; triage requests and forward / flag these up to owners.
- Manage the portfolio Front Door (project intake process): Log receipt of proposals; liaise with proposers to ensure proposal information is complete; classify proposals by size/complexity using predetermined criteria; circulate proposals for review, track responses, chase missing responses; report on progress of proposals through the process; identify proposals ready to be put forward for final approval.
- Support the ongoing management of the project assurance process working collaboratively with the Portfolio & Transformation Management Office Lead.
- Support Portfolio governance services including but not limited to financial control, reporting, change control, planning, resource, forecasting, benefits management and RAID management.
- Champion project compliance with organisational standards (e.g. project management framework).
- Support assurance reviews from outside the team, providing required artefacts and liaising with relevant parties.
- Maintain templates for Governance artefacts Proposal, Business Case, Project Charter, Change Requests, Action Closure Documents, etc.
- Assist in the implementation of a governance process for the structuring, development, review, approval and filing of key Programme/Projects deliverables ensuring good quality and best practice is embedded throughout.
- Develop and carry out system administration of the SharePoint “Change Hub” document library.
- Organise and coordinate cross-Programme tasks/actions providing “bandwidth” to the PMO Lead.
- Raise purchase order requests, approve (receipt) invoices, liaise with procurement, finance and compliance as required.
- Contribute to designing, producing and ongoing improvement of relevant and insightful MI on Portfolio performance and trends (e.g. finances, earned value, etc.)
- Support wider COO reporting, engaging with Change, Data and Operations Delivery.
- Help drive forward good Conduct for the business to deliver the best outcomes for customers / policyholders.
- Any additional duties and responsibilities that may reasonably be expected to be undertaken in accordance with the role.

Knowledge and Skills
- PM and/or PMO experience in project and programme delivery.
- Experience in a Financial Services environment, ideally Insurance, ideally London Market / Lloyd’s.
- Structured and logical thinker, being able to plan and organise work coherently.
- Quality-driven individual, constantly challenging outputs/mechanisms/approaches for ongoing improvement.
- Ability to follow leadership, but also to operate with autonomy and make judgment calls.
- Strong coordination and organisational skills to lead with autonomy tasks delegated from the PMO Lead.
- Strong interpersonal & communication skills; ability to manage and communicate with senior stakeholders.
- Ability to work under pressure; cool, calm, analytical personality.
- Proactive rather than reactive attitude, prepared to flag up portfolio-wide risks and help the PMO Lead in addressing them.
- Experience and ideally formal training / certification in project management or PMO (e.g. PRINCE2, P3O, Praxis, APM, PMI)
- Good numeracy skills

Education and Professional Qualifications Required / (preferred)
- University Degree (ideally numerical / statistics – based subject like Maths, Statistics, Engineering, or a science)
- Relevant professional qualification (e.g. CAPM, PMP, IPMA Project Management Professional, PMO Essentials for PMO Analysts, P3O Foundation / Practitioner, Managing Successful Programmes Foundation / Practitioner, PRINCE2 Foundation / Practitioner, Praxis Framework Foundation / Practitioner)
