Available Position: PMO Coordinator

Location: Bristol - Hybrid
Role: Full Time
Remuneration: £26,000 - £33,000 (experience depending)

The Role

An opportunity has arisen within our Project Management function for a PMO Coordinator to provide structured lifecycle coordination, governance preparation, and budget and resource visibility across active projects. This is a foundational role within the PM function, designed to give Project Managers more capacity to focus on delivery leadership, stakeholder management, scope control, and risk management.

This is primarily a non-client-facing position, focused on internal coordination, governance discipline, and operational visibility.

The role sits within the Project Management function and reports to the PM Manager. It is intended to offer stability and structured development, with an increased deepening of the successful candidate's understanding of end-to-end project lifecycle coordination, governance and delivery discipline, budget and utilisation visibility, and cross-functional collaboration between PM and Resource Management. While not designed as a short-term stepping stone, the role may evolve gradually in scope and responsibility, with longer-term progression potentially including expanded operational responsibilities or broader coordination roles within the PM function, subject to performance and business priorities.

Main Responsibilities

Project Setup & Infrastructure

  • Create and structure project Teams channels.
  • Apply standard folder hierarchy and documentation templates.
  • Ensure required artefacts are accessible and version-controlled.
  • Align governance cadence at project initiation.

Kick-Off (KO) Preparation

  • Prepare the full Kick-Off deck based on agreed scope and documentation.
  • Populate timeline and delivery estimation summary slides.
  • Ensure required artefacts are complete prior to session delivery.
  • Update relevant logs following the session, based on PM input.

Governance & Lifecycle Coordination

  • Schedule and support BIS (configuration-focused) sessions, including preparing documentation, circulating pre-reads, and capturing actions.
  • Schedule internal milestone meetings and coordinate attendance and logistics.
  • Support project Close and Customer Success handover, including preparing Close documentation, validating documentation checklists, scheduling internal CS handover, and tracking post-go-live ownership.

Budget Tracking & Delivery Hour Visibility

  • Extract estimated versus actual delivery hours and track burn rate (typically monthly, with flexibility based on project risk).
  • Highlight variance and prepare a summary view for PM review.

Resource Planner Support

  • Complete initial allocation setup in the Resource Planner and maintain monthly updates aligned to project progress.
  • Highlight allocation variance and prepare a visibility summary for the PM and Resource Manager.

Desirable Qualifications and Experience

  • Some experience in a PMO, project coordination, project support, or governance-focused role.
  • A working understanding of project lifecycle stages and governance processes.
  • Strong organisational skills, with the ability to manage multiple work streams, logs, and deadlines accurately.
  • Comfortable working with structured documentation, templates, and reporting formats.
  • Good written and verbal communication skills for internal stakeholder coordination.
  • Confident using Microsoft Office and collaboration tools such as Microsoft Teams.
  • Studying towards a project management qualification (e.g. APM PMQ, PRINCE2 Foundation, PMI CAPM or equivalents).
  • Experience supporting resource-planning and tracking.
  • Exposure to a software implementation, consulting, or professional services environment.
  • Experience maintaining action logs, RAID logs, or similar governance documentation.

Highly Valued Skills

  • Excellent attention to detail and documentation discipline.
  • Proactive and organised, with the ability to work to a structured governance cadence.
  • Confident using templates, logs, and structured reporting formats.
  • Good internal stakeholder coordination and communication skills.
  • Ability to work independently while knowing when to escalate or seek guidance.
