Duration: 12 months contract

Pay Rate: 36 – 42 GBP /hour Inside IR 35 (PAYE)

About the Role

We are looking for an Executive Experiences Manager/Coordinator to support the delivery of high-quality executive briefings and engagements from the London Executive Briefing Center (EBC). This role will manage the onsite experience, coordinate event logistics, support executive engagement leads, and work closely with cross-functional teams to ensure seamless delivery of high-visibility executive programs.

Key Responsibilities

  • Manage the day-to-day onsite operations of the London Executive Briefing Center.
  • Maintain the EBC environment, including inventory, supplies, equipment, and overall readiness.
  • Support executive briefings and VIP engagements, ensuring high standards across room setup, hospitality, and onsite experience.
  • Coordinate executive logistics including catering, hotels, transportation, swag, signage, and reception.
  • Greet and escort visiting executives and provide a seamless, concierge-level experience.
  • Act as the primary onsite contact for Security, Facilities, A/V, Culinary, and other cross-functional teams.
  • Manage vendor relationships and ensure timely, high-quality service delivery.
  • Partner with Executive Engagement Leads to coordinate VIP briefings and events.
  • Support scheduling, resource booking, documentation, and other program logistics.
  • Create and maintain digital landing pages containing agendas, speaker details, and pre-engagement information.
  • Contribute to the continuous improvement and development of the Executive Briefing Program.

Requirements

  • 4–6 years of experience in executive engagement, events, event management, or program management.
  • Experience managing executive programs, VIP events, or high-touch engagements in fast-paced environments.
  • Strong stakeholder management and cross-functional collaboration skills.
  • Excellent written, verbal, and interpersonal communication.
  • Strong organizational skills with exceptional attention to detail.
  • Proactive problem-solving approach and ability to work independently.
  • Comfortable managing changing priorities and last-minute event requirements.
  • Proficiency with Google Workspace.
  • Ability to work effectively in a highly collaborative, onsite environment.

Preferred Qualifications

  • Experience working with global or cross-regional teams.
  • Previous vendor management and hospitality management experience.
  • Familiarity with AI tools to improve operational efficiency.
  • Knowledge or interest in wearables, consumer electronics, or emerging technology.
  • Experience supporting senior executives, C-suite stakeholders, or high-profile external clients.
  • Comfortable working across multiple time zones and collaborating with international teams.
