The role
Contract: Permanent, full-time (37.5 hours a week)
Focus of role: Coordination and logistics for all SNS operations and programmes with supervision of the SNS intern
Renumeration: £28,000–£33,000 pa (depending on experience)
Notice period: 2 months
Location: London based with occasional national travel
Overview of role
SNS is looking for a Programmes & Events Coordinator to support the schools, youth leadership and adult training programmes, plus the logistical organisation of all office processes, events and workshops supported by the SNS intern. The successful candidate will be responsible for organising workshops and events, from start to finish, and will coordinate all admin and logistics of the organisation. We are looking for someone who is experienced in and passionate about event management, and running organisational systems and processes. They will need to be extremely organised, attentive to detail, confident in communicating with different people and stakeholders, and ideally have some experience of the British education system.
Purpose of the role
To have responsibility for all office systems and processes, and support the members of the SLT with administrative and logistical tasks for programmes and events as required.
Responsibilities in detail

Support the Education Director to deliver the Schools Programme
- Lead on school engagement process from introduction to booking to evaluation
- Outreach to schools and councils to obtain session bookings (emails, monthly newsletters, managing teacher lists, setting up meetings etc.)
- Lead on logistical arrangements with support from the SNS intern for tours in UK schools with Palestinian and Israeli speakers (booking flights, accommodation, visa applications, and other logistics)
- Coordinate teacher briefing calls
- Lead on communications with schools regarding bookings; pre-session materials, invoices, SNS news etc.
- Procure feedback from schools (teachers and students)

Support the Deputy Director on logistical arrangements for study trips to N Ireland and Bosnia and Herzegovina
- Book flights & accommodation with support from the SNS intern
- Liaise with participants on logistical arrangements for the trip

Support the Public Affairs Director to deliver the Youth Leadership Programmes
- Lead on logistics for all activities and events
- Lead on administration for participant recruitment
- Attend the Bridge Builders and Future Diplomats residential programmes to organise and support participants with logistical needs throughout the programmes

Office systems and processes
Administrative systems
- Organise and maintain office filing systems (online and offline) to ensure ease of accessibility for team
- Lead on process management and CRM management
- Liaise with HR company to ensure policies are updated
- Manage the post and the phone
- Administrate team email account and calendar
- Track and monitor tech equipment signed out to staff
- Responsible for the order and delivery of printed admin materials e.g. business cards, brochures etc.
- Upload SNS website content updates created by the SLT
- Update and keep a record of passwords and online account details for apps and websites
- Keep details up to date (Charity Commission, banks etc.)
Finance
- Do expenses checks and monthly transfers
- Liaise with bookkeeper to ensure expenses receipts are submitted by team in a timely manner
- Process Gift Aid applications
Miscellaneous events
- Lead on logistical arrangements for adult training sessions
- Design forms and sign-up sheets for data capture for public events, and collate and record metrics for all programmes
- Organise and run annual SNS reunion event
- Organise and run the logistics for team bonding and training events and retreats
- Maintain and update databases of SNS photos of our work in action
Person specification
Essential
- Experience in administration, logistics, and processes
- Excellent knowledge of Microsoft Office
- Experience using a database management system
- Experience project & event planning for short- and long-term projects
- Strong interpersonal and communication skills (both written and verbal) as the post will involve composing correspondence, dealing with enquiries and liaising with a variety of different people by telephone, email and in person
- Highly organised, financially literate, punctual, and attentive to detail
- No criminal record
- Highly motivated and able to take initiative for self-development in the role
- Sensitive to cultural differences across borders and communities
- A passion for dialogue, reconciliation, and healing divisions
- Ability to maintain confidentiality with sensitive information
- Willingness to be flexible according to current needs of the organisation
- Ability to work with a small group of staff in a collaborative way in an environment where work is shared in order to meet tight deadlines
- Someone with a positive attitude and with high levels of integrity, honesty and credibility

Desirable
- Knowledge of antisemitism and Islamophobia in the UK
- A degree in a related subject
- Experience of having worked for - or an understanding of how - a small organisation operates
- Experience using Hubspot
- Experience in the charity sector
What we require
As a precondition of employment, we’ll need you to:
- Complete an enhanced Disclosure and Barring Service (DBS) certificate
- Provide two satisfactory references, at least one of which should detail your suitability to work with young people and another to be from your most recent employer
