The Role
This is more than a job. It is an opportunity to play a key role in one of the UK's most significant defence programmes.
As a Programme coordination lead, you will provide comprehensive administrative, coordination and PMO support in support of the Army Collective Training Service (ACTS) Programme. You will work closely with programme leadership, project managers, functional leads, industry partners and Authority stakeholders to ensure the efficient operation of the Programme Management Office (PMO).
The role combines senior administrative support, programme coordination, stakeholder engagement, governance support and executive assistance, requiring a highly organised, proactive individual who can manage competing priorities and build effective working relationships across a complex delivery environment.
You will work within a matrix organisation, reporting to the one of the Programme Manager. Ultimately, you will contribute to delivering a modernised training capability for the British Army.

Main Duties
- Executive & Programme Support: Provide proactive support to Programme Leadership through the management of complex and frequently changing diaries, stakeholder communications, travel arrangements, expense management and other activities that enable effective programme delivery.
- Correspondence Management: Monitor and manage delegated inboxes, prioritising urgent matters, responding where appropriate, tracking actions and ensuring timely follow-up across multiple stakeholders.
- Programme Coordination: Support the planning and coordination of programme activities, ensuring actions, deliverables, dependencies and key milestones are tracked and progressed.
- Governance & Meeting Support: Coordinate governance forums, programme reviews, customer meetings and workshops, including agenda preparation, meeting logistics, minute taking, action tracking and follow-up activities.
- Programme Documentation: Maintain programme documentation, registers and trackers, ensuring information remains accurate, current and compliant with company processes.
- Reporting & Communications: Assist in the production of programme reports, presentations, briefing packs and management information for internal and external stakeholders.
- Stakeholder Management: Act as a key point of contact across Raytheon UK, Omnia Partners and customers, building effective relationships and ensuring communication flows effectively between teams.
- Collaboration Tools & Administration: Maintain SharePoint sites, Teams channels and other programme collaboration tools, ensuring information is organised, accessible and up to date.
- Onboarding & Resource Support: Coordinate onboarding activities, access requests, equipment requirements and induction arrangements for new team members.
- Visits & Events: Coordinate customer engagements, executive visits and programme events, managing logistics, stakeholder requirements and visit execution through to successful delivery.
- Programme Operations Support: Coordinate a range of operational and administrative activities to ensure the smooth running of the programme, including procurement administration, visitor management, facilities requests, catering arrangements, invoice processing and general team support.
- Continuous Improvement: Identify opportunities to enhance programme administration, reporting, governance and team ways of working.
Skills & Experience
We are looking for a highly organised, proactive and adaptable individual who thrives in a fast-paced environment and can effectively support Programme Leadership and the wider programme team.
The ideal candidate will demonstrate:
- Excellent organisational, planning and prioritisation skills, with the ability to manage multiple competing demands and deliver to deadlines.
- Experience managing complex and frequently changing diaries, coordinating schedules across multiple stakeholders and time zones.
- Strong written and verbal communication skills, with the confidence to engage professionally with stakeholders at all levels.
- Experience managing correspondence and delegated inboxes, exercising sound judgement, discretion and confidentiality.
- Experience coordinating meetings, governance forums, workshops, travel, events and customer engagements, including agenda preparation, minute taking and action tracking.
- Strong attention to detail, with the ability to maintain accurate documentation, records, trackers and programme information.
- Experience preparing high-quality presentations, reports, briefing materials and communications for senior leaders and stakeholders.
- Strong stakeholder management and relationship-building skills, with a collaborative and customer-focused approach.
- Demonstrable ability to work independently, show initiative, solve problems and adapt to changing priorities.
- Advanced proficiency in Microsoft 365 applications, particularly Outlook, Teams, Word, Excel, PowerPoint and SharePoint.
- A positive, flexible and professional approach, with high levels of integrity and a willingness to support a broad range of programme and business activities.
- Experience working within Defence, Government, Military, regulated environments, or within programme/project support functions would be advantageous.
