Role Overview

Join the Registry Team and be at the heart of supporting teaching delivery and experience for our degree cohorts and professional learners.

This is a part-time (0.5 fte) fixed term - two years position based at our London campus but with opportunity for remote working (though some evening work may on occasion be necessary). This is your chance to be part of a vibrant, innovative community, helping support students’ and professional learners’ experience both administratively, and at academic and co-curricular events.

The Programme Officer will take operational responsibility for coordinating the day-to-day delivery of the School's MBA programme, ensuring that teaching, external contributors, partners, learning resources and programme activities are effectively organised and delivered. Working closely with the Programme Director, the postholder will coordinate a large network of adjunct faculty, guest speakers, industry partners and professional service colleagues to ensure a high-quality learner experience across all aspects of programme delivery.

The postholder will act as the operational coordination lead for the MBA programme, managing programme logistics and delivery activities across multiple stakeholders, ensuring actions are completed to agreed timescales and escalating risks where appropriate.

The Programme Officer will work closely with the Academic Services Manager on academic delivery and human resource planning.

You will act as the first point of contact for student enquiries relating to attendance, assessment and general enquiries. You will be a vital part of the administration of student records; working with confidential information you will use excel, the student record system and Canvas to administer the full student journey lifecycle.

The purpose of the role is to provide a proactive, efficient and professional service working closely with relevant professional and academic staff in order to maintain and enhance the student experience.

This varied role requires strong administrative and organisational skills. The ability to handle a competing workload, maintain accuracy and have an eye to detail are essential for this post.

Duties

Your core duties will include, but are not limited to as we are a scale up organisation:

Logistics, teaching and event support

  • Coordinate the operational delivery of the MBA programme across academic staff, adjunct faculty, guest speakers, professional service teams and external partners, ensuring all programme activities are delivered on schedule.
  • Coordinate the engagement of external faculty and contributors from initial planning through delivery, ensuring contractual, logistical and operational requirements are completed.
  • Maintain oversight of programme delivery milestones and proactively identify, escalate and resolve operational issues that may affect the student experience.
  • Coordinate communication and workflow across the MBA delivery team, ensuring actions arising from operational meetings are monitored and completed.
  • Develop and maintain operational plans, delivery schedules and stakeholder trackers for MBA activities.
  • Coordinate the operational delivery of MBA immersive learning experiences, residentials, off-site visits and related events, including travel, accommodation and stakeholder support where required.
  • Provide occasional additional event support – catering, room booking, staffing, greeting guests, handling queries from professional learners, students and staff, tracking participant engagement and feedback.
  • Publication of events and supporting mapping timelines of events across the wider organisation.
  • Present provision arrangements to Marketing and Recruitment for recruitment and advertisement cycles.
  • Support Faculty with course delivery across our teaching platforms (Teams, Zoom, Big Blue Button)
  • Administer core text purchasing, liaising with Faculty as needed.
  • Support Programme Directors in implementing changes to programme delivery, ensuring changes are communicated and operationalised effectively.

Stakeholder Management, Communications and Liaison

  • Build effective working relationships with adjunct faculty, guest speakers and external partners to ensure smooth programme delivery.
  • Coordinate external contributor onboarding, scheduling and ongoing engagement throughout the academic year.
  • Ensure external contributors receive timely information, resources and support to deliver teaching effectively.
  • Be the first point of contact for student and staff enquiries relating to attendance, planning, assessment and other general enquiries.
  • Act as an administrative contact for the MBA programme, supporting Programme Directors, teaching faculty, guest speakers and external partners.
  • Work cross-functionally with professional services staff across the institution and Faculty to answer queries relating to courses, planning and student issues.
  • Liaise with the Academic Pastoral Lead and Head of Student Support with data on attainment and attendance.

Information handling

  • Maintain key points of reference for internal teams and students to use.
  • Present provision arrangements, including deadlines for content, in an accessible format.
  • Support Faculty and other teams with information management and timeliness.

Student and Programme Administration

  • Administrating student records and the student lifecycle from registration and enrolment through to course completion
  • Administer Student Loan Company (SLC) registration and attendance reporting
  • Support assessment administration including extensions, examination boards, mark processing and production of student documentation.
  • Creating reports for internal and external use, including Exam Board Reporting, assessment and attendance statistics.
  • Conduct data checks to ensure accuracy.
  • Managing the marking and moderation work stream and deadlines.
  • Provide transcripts, council tax certificates, student confirmation letters and other documents for students as needed.

Canvas – our Virtual Learning Environment

  • Set up and administer module spaces and assessment areas on Canvas.
  • Monitoring engagement metrics.
  • Registration of students on Cortex.
  • Liaise with Digital and other professional services teams to ensure the effective technical delivery of MBA teaching sessions and events.
  • Coordinate the ordering and preparation of learning materials, resources and teaching spaces required for MBA delivery.
  • Support the preparation, standardisation, proof-reading and quality assurance of MBA learning materials and course content in line with programme requirements.
  • Support the preparation and maintenance of learning content for third-party learning applications and study tools where required.
  • Assist with the preparation, formatting, proof-reading, testing and quality assurance of progress tests, quizzes and other formative assessment activities.

Other Duties

  • Acting as Secretary to internal meetings as needed
  • Work in line with GDPR, LIS’ policies, procedures and regulations
  • Undertaking any other duties commensurate with the grade of the post
  • Strive to improve administrative processes across Registry and MBA programme delivery activities.
  • Participate in the reception rota with all other staff during term time.

Person Specification

Applicants must have some administrative experience (preferably within a university or education setting) together with the ability to organise a busy workload, attention to detail, and the ability to work within a team and independently.

You will have a passion for being student-centred in your approach to tasks and have excellent communication skills.

A strong working knowledge of Microsoft Office, including experience of working with excel is essential.

Desirable applicants will have worked in an educational, professional learning and have good excel skills and/or familiarity with Canvas, student record systems, Big Blue Button, and Notion.

In Particular They May Have

  • Experience supporting executive education, postgraduate or MBA programmes.
  • Experience working with external faculty, guest speakers, professional networks or industry partners.
  • Experience coordinating events, residential programmes, conferences or immersive learning activities.
  • Experience using Canvas or similar virtual learning environments to manage learning resources and engagement reporting.
